The Research Administrator (RA) III/IV provides comprehensive research administration support within the Translational Science and Therapeutics Division under the direction of a Program Operations Director. The role supports faculty and their labs by overseeing financial and administrative aspects of sponsored research, including grants and contracts, regulatory compliance, and adherence to institutional policies and procedures. The Research Administrator partners closely with Principal Investigators and internal stakeholders to ensure accurate financial management, timely submissions, and effective day‑to‑day research operations. Responsibilities may vary based on level and experience. Successful candidates will demonstrate strong organizational and analytical skills, the ability to interpret and communicate complex regulatory requirements, an interest in continuous learning, and a commitment to working in a collaborative and collegial research environment. This role will have the opportunity to work partially at our campus and remotely. Responsibilities Sponsored Research & Financial Management (Pre‑ and Post‑Award) Provide comprehensive pre‑ and post‑award research administration support for sponsored funding from federal, foundation, industry, nonprofit, and institutional sources, supporting projects from proposal development through award closeout. Lead grant proposal development and submission activities, including coordinating timelines, preparing and reviewing budgets, completing non‑scientific application components, and securing required institutional approvals. Manage post‑award financial and administrative activities, including award review, project setup, budget monitoring and forecasting, compliance oversight, financial reporting, and closeout for complex portfolios that may include multi‑site projects and subawards. Perform financial reconciliation and advanced analysis to ensure appropriate cost allocability and allowability, identify and resolve discrepancies, develop actionable recommendations, generate customized reports, and escalate issues as appropriate. Monitor faculty effort and cost‑sharing commitments and manage ongoing and annual effort planning and reporting in accordance with sponsor and Fred Hutch requirements. Regulatory & Compliance Support Provide regulatory and compliance support by advising investigators on non‑scientific portions of applications and renewals, managing submission timelines, and ensuring completion of required documentation. Serve as a central point of contact to help resolve administrative and regulatory questions and facilitate solutions with internal and external partners. Strategic & Program Support Support strategic and programmatic planning efforts, including financial forecasting, portfolio analysis, and program growth initiatives. Advise faculty and program leadership on changes to policies, procedures, and regulatory requirements and support implementation of compliant practices. Administrative, Procurement & Operational Support Provide operational and administrative support, including serving as a procurement liaison, placing and approving orders for supplies and equipment, processing purchasing and expense transactions, and coordinating equipment maintenance and service needs. Assist with HR‑related processes such as onboarding and offboarding, recruitment coordination, and performance review support, and collaborate with internal partners on behalf of supported faculty. Perform or coordinate key administrative activities such as editing CVs and NIH Biosketches, tracking funding and publications, assisting with academic review and promotion materials, and supporting project management or event coordination as needed. Team Collaboration and Engagement Contribute as an engaged and collaborative team member, within the Translational Science and Therapeutics Division, by participating in team activities, providing coverage for colleagues as needed, and supporting the mission and values of Fred Hutch. Qualifications MINIMUM QUALIFICATIONS: Research Administrator III: A Bachelor's Degree or 3 years relevant experience. Minimum of one year experience managing federal and/or non-federal sponsored research. Advanced proficiency with Microsoft Office/Adobe. Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables. Ability to edit SharePoint sites or basic web pages. Knowledge/prior experience with Enterprise Software Systems. Ability to source data from systems and generate customized reports. Efficiently planning, organizing, and prioritizing your work as well as that of others. Ability to tailor communications to specific audiences. Ability to navigate complex internal systems and departments. Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.). Basic knowledge of accounting terminology. Knowledge of relevant regulatory guidelines such as IRB, IACUC, MUA. Prior experience or exposure to grant writing/applications. Research Administrator IV: All minimum qualifications of Research Administrator III, plus: A Bachelor's Degree or 4 years relevant experience. Minimum of three years experience managing federal and/or non-federal sponsored research. Experience creating and executing strategic plans. The ability to delegate tasks to appropriate resources. Multi-project grant experience with a wide variety of funding sources. The ability to analyze and interpret regulations, determine impact, and manage change . PREFERRED QUALIFICATIONS: Prior grants and contract management experience of more than 4 years. Proficient in fiscal and budgetary management. Prior project management or supervisory experience. Strong organizational and problem-solving skills and the ability to manage competing priorities. Research Administrator III: The annual base salary range for this position is from $84,489 to $126,714, and pay offered will be based on experience and qualifications. Research Administrator IV: The annual base salary range for this position is from $93,163 to $139,714, and pay offered will be based on experience and qualifications.Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
