Description Under supervision of the Practice Manager, guided by policies and procedures of the Ambulatory Services, the Hospital Assistant III assists in the delivery of care to patients being seen in the practice. They will perform assigned patient care procedures in support of the care services provided to patients within the practice. They are required to adhere to the Telephone and House Standards as adopted by the department. The assistant also assists with front and back office responsibilities, which include scheduling, pre-registering, verifying insurance, obtaining referrals and authorizations and coordination of required medical and financial information. They work as a team member with other staff and consistently projects a professional, caring and courteous demeanor. The Hospital Assistant III is responsible for the efficient patient flow and provides support to multiple physicians. They communicate with referring physicians’ offices,and serves a liaison for the outside providers. They are responsible for insurance authorizations and pharmacy refills, as well as complicated treatment authorizations and hospital admission arrangements. Responsibilities DUTIES & ESSENTIAL JOB FUNCTIONS % of time Essential Function (Yes/No ) Key Responsibilities (To be completed by Supervisor) Monitors patient flow in and out of the clinic. Obtains patient’s vital signs, height, weight, pain screening, and documentation of chief complaints, and may room the patient. Utilizes ApeX for documentation within the scope of practice of an Medical Assistant Assists nurses and providers in preparation for exam and/or equipment (i.e. biopsy/PAP) Assists with procedures as required for the department specialty and determined by the Clinical Manager or Administrative Director Performs in basket functions identified as area of responsibility related to patient’s messages, labs, authorizations and other tasks Acts as chaperone as needed for medical providers. Notifies providers of patient delays and service issues. Advocates for patients by helping facilitate provider punctuality. Communicates provider delays to front office team and assists patients with issues and complaints utilizing conflict management skills. Shares pertinent information and observations with other health team members. Other duties as assigned such as completing referrals to other providers as ordered by the physician, obtaining authorizations from insurers for medications, and assisting the physician staff in writing and sending out patient communication Maintains clean, well-stocked exam rooms. Responsible for ordering and maintaining supplies. Maintenance of lab equipment and supply standards as directed by nursing staff or appropriate supervisor. Perform other related duties as needed 10 0% (To update total %, enter the amount of time in whole numbers (without the % symbol - e.g., 15, 20) then highlight the total sum (e.g., 1%) at the bottom of the column and press F9. The total sum should add up to 100%.) OTHER FUNCTIONS AND RESPONSIBILITIES Performs other duties as assigned. Qualifications REQUIRED QUALIFICATION Certification from an approved Medical Assistant program; or equivalent combination of training and experience. Knowledge and abilities essential to the successful performance of the duties assigned to the position. Current American Heart Association CPR Certification Minimum of 1 year of recent experience working in a busy health care environment. Familiarity with insurance verification and authorizations Ability to sit at a computer terminal for extended periods of time, with no restrictions for keyboarding. Strong computer skills, including basic keyboarding skills, and experience and ability to work effectively in Word and Excel. Ability to prioritize and work efficiently with multiple forms of patient & provider communication including email, fax and phone system. Excellent organizational and problem-solving skills. Excellent verbal skills. Excellent interpersonal skills Strong writing skills to include the ability to compose basic office communications. Ability to deal sensitively and effectively with patients.
