We’re seeking a part-time Office Coordinator to own day-to-day operations for our Montreal office. Working with the Operations Manager, the Office Coordinator will support workplace logistics, ensuring office activities remain uninterrupted amidst the growth of Xona’s Montreal team. Overseeing a range of office duties from event, catering and office supply management, to vendor, visitor, and shipping and receiving coordination, the ideal candidate is a driven learner with a penchant for creativity and efficient execution. What You’ll Do Administrative support: Provide administrative support and maintain accurate records to support day-to-day proceedings around the office Office Supply Management: Monitor office supplies including stationary, snacks, and consumables, and oversee management of the of the weekly employee lunch program Visitor Management: Oversee visitor coordinator by inviting, registering, and greeting external visitors Employee onboarding support: support employee onboarding by preparing workstations, supplies, and orientation logistics, helping new hires transition smoothly into the Montreal office Handle daily shipping and receiving logistics : ensure timely processing, tracking, and delivery of packages and equipment. Event Management : plan, coordinate, and execute internal office events, monthly offsite 5 à 7 events, and support ERG meetings. Vendor & Service Coordination: act as the dedicated point of contact for recurring office services including maintenance, building administrators, and janitorial services Required Qualifications 0-2 years of experience with office or workplace coordination. This is an early-career opportunity for an individual eager to be exposed to a wide range of business operations and industry-related practices. Conscientious and professional communication abilities, with the good judgement required to act as a trusted representative of company leadership. Fluent in French and English, with the ability to support both local and global partners. En collaboration avec le ou la gestionnaire des opérations, cette personne soutiendra les activités logistiques du milieu de travail afin d’assurer le bon déroulement des opérations dans un contexte de croissance de l’équipe montréalaise de Xona. Responsable d’un large éventail de tâches administratives et organisationnelles — allant de la gestion des événements, du service traiteur et des fournitures de bureau jusqu’à la coordination des fournisseurs, des visiteurs, des expéditions et des réceptions — la personne idéale est curieuse, proactive, créative et reconnue pour son efficacité d’exécution. Ce que vous ferez Soutien administratif : offrir un soutien administratif et maintenir des dossiers à jour afin d’assurer le bon fonctionnement des activités quotidiennes du bureau Gestion des fournitures de bureau : assurer le suivi des fournitures de bureau, incluant la papeterie, les collations et les consommables, ainsi que la gestion du programme hebdomadaire de repas pour les employés Gestion des visiteurs : coordonner l’accueil des visiteurs externes, incluant les invitations, l’enregistrement et la réception à l’arrivée Soutien à l’intégration des employés : contribuer à l’accueil et à l’intégration des nouveaux employés en préparant les postes de travail, les fournitures et les activités d’orientation afin de faciliter leur arrivée au bureau de Montréal Gestion des expéditions et réceptions : assurer le traitement, le suivi et la livraison des colis et équipements dans les délais requis Coordination d’événements : planifier, coordonner et réaliser des événements internes, des activités sociales mensuelles à l’extérieur du bureau (5 à 7) ainsi que soutenir les rencontres des groupes de ressources pour les employés (ERG) Coordination des fournisseurs et services : agir comme principal point de contact pour les services récurrents liés au bureau, incluant l’entretien, l’administration de l’immeuble et les services de conciergerie Qualifications requises De 0 à 2 années d’expérience en coordination de bureau ou en soutien aux opérations du milieu de travail.
