Position: Casual Records Clerk Posting Type: External Status: Casual, one year contract Hours of work: 40 hours per week, Monday to Friday, 8:00am – 4:00pm Compensation Level: $58,950 - $78,600 (2025 rates) Application Opening:  Thursday, May 21, 2026 Application Deadline: Thursday, June 4, 2026 The Brantford Police Service is currently accepting applications for one (1) Casual Records Clerk for a one-year contract.   PURPOSE OF POSITION The Casual Records Clerk is responsible for reviewing, analyzing, and classifying police reports, compiling statistics, and preparing reports, in accordance with established Statistics Canada guidelines. SUMMARY OF DUTIES AND RESPONSIBILITIES Review, analyze and classify occurrence reports for accuracy, ensuring all Canadian Centre for Justice and Community Safety Statistics (CCJCSS) requirements are met, offence coding is accurate, all names/businesses/property are listed correctly, and all charge information is accurate with court folders. Complete quality control of officer reports, amend information as required. Initiate tasks for follow-up with officers to clarify occurrence report information and request final outcomes to ensure accurate coding. Clarify coding rules with Statistics Canada and make necessary corrections. Review the monthly CCJCSS Edit and Imputation Report and make any necessary corrections prior to resubmission. Prepare and maintain statistics for homicide reports, update as needed to ensure accuracy. Forward Homicide Survey reports to appropriate lead investigator; review all documents returned by lead to ensure accurate completion; forward to Statistics Canada; respond to documents rejected due to missing or incomplete information, consult with lead investigators to make corrections and resubmit. Review of all No Report (NR) occurrence reports in Niche. Prepare and maintain statistics for all MVC fatalities, updating as needed to ensure accuracy of charges, subsequent deaths, etc. Verify six month and year-end UCR survey data from Statistics Canada, analyze results against the previous year, provide justifications to Statistics Canada for any significant increase/decrease in crime statistics from previous submission period. Complete monthly reports for Administration for the Chief of Police. Advise Supervisor or Manager of any potential officer safety concerns found in reports. Complete data entry (linking) for reports as back-up. Consult with internal units and external police services and agencies to provide, clarify, and exchange information. Function as a resource and assists members by providing advice on RMS and Uniform Crime Reporting criteria. Receives and responds to telephone calls, tasks and emails from members, other police services and government agencies. Occasionally train new members. Provide urgent back-up to Records Customer Service Specialist as required. Answer internal and external telephone inquiries. Perform Commissioner of Oath duties as required. Attend at the Record counter as required. Participate in ongoing professional development by attending in-house, police and outside training courses and seminars. Identify duplicate records in the Niche RMS. Performs other duties as required and assigned. NOTE: The duties listed are not for the purpose of limiting the assignment of work. Knowledge Successful completion of up to one year of post-secondary courses (Business Administration, Office Administration) One year of relevant previous experience with information processing. Exceptional knowledge of the confidentiality and privacy concerns contained in legislation, policy and procedures that protects the unlawful dissemination of information, including extremely sensitive information. An understanding of the organizational structure, Routine Orders, Policy and Procedures, practices within the Service as it pertains to duties and responsibilities performed. Knowledge and ability to reference materials required for job duties and responsibilities such as the UCR manual, Criminal Code of Canada, Youth Criminal Justice Act, Controlled Drugs and Substances Act etc. Working knowledge of standard office software on personal computers.     Skills Excellent interpersonal, listening, written and verbal communication skills. Exceptional attention to detail and concentration. Must be capable of handling multi-tasks, produce work under strict and definitive deadlines. Planning, organizing, and analytical skills with sound logic and good judgement. Computer literate in word processing. Keyboarding skills of 40 w.p.m. Abilities Ability to work independently and collaboratively. Ability to complete all mandatory training courses. Ability to adapt quickly to changes in policies and procedures. Able to ensure strict compliance with legislation, regulations, guidelines, policies, and procedures. All other qualifications the position justifies. Physical/Mental Demands Continuous use of computer, keyboard, and mouse. Extensive periods of sitting. Attention to detail and visual concentration required. Multiple deadlines and urgent assignments. May have exposure to disturbing/graphic written materials. Work is performed in a standard open concept office, subject to frequent interruptions.
