Job Description Job Title: Receptionist Department: Administration Reports To: Business Office Manager FLSA Status: Non-Exempt Prepared By: Human Resources Prepared Date: April 13, 2021 Summary: The primary purpose of the receptionist is to watch the front door, answer phones, greet residents and their families, direct them to appropriate places in the building, give tours and give out appropriate marketing materials, when directed. Essential Job Functions, Duties and Responsibilities include the following. Other duties may be assigned. • Answer phone line promptly and appropriately • Transfer calls as needed • Check messages left on the front desk phone • Check email • Archive resident files • Greet guests and visitors • Conduct tours for prospective residents and their families • Manage Sign in/out logs • Forward phone to portable when on a tour or away from the front desk. • Put sign up at front desk when away for short periods. “We are on a tour…” • Post sign when leaving for the day “The front desk is closed…” • Assist with moving furniture when needed for activities • Walk around lobby, dining room and bathrooms several times/day to check for cleanliness. • Put together new move-in packets when they are running low • Update t.v. slide show for the week • Refill Pens, Business Cards, Brochures – Keep front desk area clean • Lock the side door at 5:00 PM if applicable to the building • Create and deliver weekly menu from template Executive Chef prepares • Create monthly newsletter on Constant Contact to send out each month • Log-In to Constant Contact and Make sure all current families are on the list • Post care staff run sheets prior to their shifts • Deliver newspapers Supervisory Responsibilities • This job does not include supervisory responsibilities. Quality Management - Looks for ways to improve and promote quality; demonstrates accuracy and thoroughness. Ethics - Works with integrity and ethically; upholds organizational values. Organizational Support - Follows policies and procedures; completes tasks correctly, thoroughly and on time; supports organization's goals and values. Professionalism - Approaches others, including residents, families, coworkers and others in a tactful manner; treats others with respect and consideration regardless of their status or position; accepts responsibility for own actions; follows through on commitments. Quality - Demonstrates thoroughness and monitors own work to ensure quality. Quantity - Meets productivity standards and completes work in timely manner; strives to increase productivity; works quickly. Safety and Security - Observes safety and security procedures and reports potentially unsafe conditions to supervisors and/or the Executive Director. Attendance/Punctuality - Is consistently at work and on time; is punctual and arrives at meetings on time. Follows instructions, responds to management direction; takes responsibility for own actions; keeps commitments; completes tasks on time or notifies appropriate person with an alternate plan. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Education and/or Experience: High school diploma or general education degree (G.E.D) preferred. Language Skills: Ability to read and follow instructions, warnings, and procedure manuals; ability to follow work directions and assignments; ability to record notes, as needed. Ability to understand how to mix cleaners for proper use. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. While performing the duties of this position, the employee frequently sits and is occasionally required push, pull and/or walk 25% of the workday. The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. The employee is required to ask for assistance from co-workers, supervisors or managers when lifting and/or moving any object, regardless of weight, where personal injury has a reasonable possibility of occurrence. Specific vision abilities required by this job include close vision, color vision and ability to adjust focus. Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
