Description Multi-Site Program Supervisor The Multi-Site Program Supervisor reports to the Regional Program Supervisor, with support from the Assistant Director of Program Operations and Director of Program Operations, and is responsible for supervising the development and operations of multiple NIA after-school programs. Responsibilities include, but are not limited to: ● Direct supervision of multiple Program Directors, overseeing a caseload of NIA after-school program locations. ● Serve as primary point of contact for assigned Program Directors, remaining readily available for support, to help with troubleshooting, on-site coaching, and communicating with parents/principals as needed. ● Serve as the liaison between NIA program sites and main office departments. ● Ensuring the Regional Program Supervisor stays apprised of any program concerns or emergencies in real time, including compliance with DYCD requirements and OCFS regulations. ● Conduct regularly scheduled program site visits and observe activities to assess program quality. A minimum of one documented administrative visit and one documented program observation must be conducted monthly, with an expectation for additional visits each month for purposes such as principal meetings, informal staff observations, participation in on-site staff meetings, Program Director coaching and support. ● Substitute on site at assigned programs if Program Director is not available and a reasonable management plan cannot be put in place. ● Evaluate program activity quality and provide support to ensure unit plans follow a scope and sequence to help build desired skills. ● Ensure that programs operate according to all NIA, funder, and licensor regulations and standards. ● Ensure assigned programs maintain valid School Age Child Care licenses, comply with licensor regulations, and act as needed in response to licensor visits and notes. ● As needed, be named as Director on program licenses until there is a qualified on-site Director to be named. ● Assist in conducting meetings with school principals, hosting VIP and funder site visits. ● Maintain a high level of professionalism, and adhere to all regulations, when responding to incidents and accidents that may occur at assigned programs ● Serve as a professional point of contact for school administrators and families if incidents or accidents occur ● Closely monitor online databases used by program funders (DYCD Connect, etc.) ● Respond to staff disciplinary matters in accordance with NIA policies and procedures, in coordination with upper managers and HR ● Assist in identifying professional development needs and organizing training opportunities ● Conduct Program Director performance evaluations ● Assist with the creation and approval of printed program materials (letters, flyers, etc.) in coordination with NIA’s marketing and communications team and upper managers. ● Represent NIA at professional conferences, school, and community events. ● Assist with organization special events ● Participate in required professional development opportunities ● Perform other duties and tasks as deemed necessary by NIA ● Support the coordination between program sites and other NIA resources, including those provided by Director of Education and Director of Capacity Building. Ensure site participation in NIA initiatives and alignment with organization instructional goals. ● Review and forward program orders and event requests for processing. Review requests for errors or questions, ensure purchases align with program goals, and ensure check payment requests are submitted with complete documentation. ● Monitor program enrollment and participation, scheduled activities, and quality across all assigned sites to ensure alignment with funder expectations. Share findings with Regional Program Supervisor. ● Oversee the selection, hiring, orientation, and ongoing training of Program Directors and Assistant Program Directors. Assist in the hiring, orientation, and ongoing training for all program line staff, including Content Specialist, Program Aide, Activity Specialists, Group Leaders, and Youth Workers. Make organization requests for job postings as site vacancies arise. ● Assist with data collection and funder reporting as needed, including support with program progress reports, review of program rate of participation, and review of program workscopes. Ensure programs are responsive to organization-wide requests for data collection. ● Assist with the coordination and development of organization-wide program events, including assistance with scheduling, logistics, and day-of event facilitation. ● Prepare for and participate in weekly meetings with Regional Program Supervisor to discuss status of assigned programs. ● Conduct regular review of program compliance status, including mandatory fire safety certificates, CPR/First Aid certifications, and DOH SACC licensing mandates. ● Conduct annual performance reviews for all assigned staff. ● Participate in ongoing professional development opportunities, including topics required to maintain organization compliance with funder and licensing requirements. ● Additional tasks as assigned to meet organizational goals. Qualifications Qualifications: ● SAC credential or bachelor’s degree in a related field required. ● 3-5 years of experience in an administrative capacity, managing programs and supervising staff, is preferred. A minimum of 2 years of experience in a youth-serving role, with a minimum of 1 year of experience in a supervisory role is required. ● Experience in the utilization of program-related online systems, and strong knowledge of funder, licensor, and NYCPS requirements is preferred. ● Excellent leadership, supervisory, and team-building skills, including the ability to motivate, align staff efforts to changing priorities and approaches, set goals, and manage staff performance so as to ensure effective service delivery in accordance with organizational goals and program contracts. ● Must be an effective communicator and possess strong speaking and writing skills. ● Collaborative spirit, flexible mindset, and professional demeanor are essential ● Excellent organizational skills, attention to detail, ability to prioritize tasks, and meet deadlines. ● Must be computer proficient and skilled in managing multiple administrative tasks. ● Willingness to attend organization and partner events, and ability to travel to multiple program sites is required.

Responsibilities include, but are not limited to:\\r\\n\\r\\n● Direct supervision of multiple Program Directors, overseeing a caseload of NIA after-school program locations.\\r\\n\\r\\n● Serve as primary point of contact for assigned Program Directors, remaining readily available for support, to help with troubleshooting, on-site coaching, and communicating with parents/principals as needed.\\r\\n\\r\\n● Serve as the liaison between NIA program sites and main office departments.\\r\\n\\r\\n● Ensuring the Regional Program Supervisor stays apprised of any program concerns or emergencies in real time, including compliance with DYCD requirements and OCFS regulations.\\r\\n\\r\\n● Conduct regularly scheduled program site visits and observe activities to assess program quality. A minimum of one documented administrative visit and one documented program observation must be conducted monthly, with an expectation for additional visits each month for purposes such as principal meetings, informal staff observations, participation in on-site staff meetings, Program Director coaching and support.\\r\\n\\r\\n● Substitute on site at assigned programs if Program Director is not available and a reasonable management plan cannot be put in place.\\r\\n\\r\\n● Evaluate program activity quality and provide support to ensure unit plans follow a scope and sequence to help build desired skills.\\r\\n\\r\\n● Ensure that programs operate according to all NIA, funder, and licensor regulations and standards.\\r\\n\\r\\n● Ensure assigned programs maintain valid School Age Child Care licenses, comply with licensor regulations, and act as needed in response to licensor visits and notes.\\r\\n\\r\\n● As needed, be named as Director on program licenses until there is a qualified on-site Director to be named.\\r\\n\\r\\n● Assist in conducting meetings with school principals, hosting VIP and funder site visits.\\r\\n\\r\\n● Maintain a high level of professionalism, and adhere to all regulations, when responding to incidents and accidents that may occur at assigned programs\\r\\n\\r\\n● Serve as a professional point of contact for school administrators and families if incidents or accidents occur\\r\\n\\r\\n● Closely monitor online databases used by program funders (DYCD Connect, etc.)\\r\\n\\r\\n● Respond to staff disciplinary matters in accordance with NIA policies and procedures, in coordination with upper managers and HR\\r\\n\\r\\n● Assist in identifying professional development needs and organizing training opportunities\\r\\n\\r\\n● Conduct Program Director performance evaluations\\r\\n\\r\\n● Assist with the creation and approval of printed program materials (letters, flyers, etc.) in coordination with NIA&rsquo;s marketing and communications team and upper managers.\\r\\n\\r\\n● Represent NIA at professional conferences, school, and community events.\\r\\n\\r\\n● Assist with organization special events\\r\\n\\r\\n● Participate in required professional development opportunities\\r\\n\\r\\n● Perform other duties and tasks as deemed necessary by NIA\\r\\n\\r\\n● Support the coordination between program sites and other NIA resources, including those provided by Director of Education and Director of Capacity Building. Ensure site participation in NIA initiatives and alignment with organization instructional goals.\\r\\n\\r\\n● Review and forward program orders and event requests for processing. Review requests for errors or questions, ensure purchases align with program goals, and ensure check payment requests are submitted with complete documentation.\\r\\n\\r\\n● Monitor program enrollment and participation, scheduled activities, and quality across all assigned sites to ensure alignment with funder expectations. Share findings with Regional Program Supervisor.\\r\\n\\r\\n● Oversee the selection, hiring, orientation, and ongoing training of Program Directors and Assistant Program Directors. Assist in the hiring, orientation, and ongoing training for all program line staff, including Content Specialist, Program Aide, Activity Specialists, Group Leaders, and Youth Workers. Make organization requests for job postings as site vacancies arise.\\r\\n\\r\\n● Assist with data collection and funder reporting as needed, including support with program progress reports, review of program rate of participation, and review of program workscopes.
