CLASSIFICATION: Administrative Assistant to Director of Environmental Services, Customer Service and Security
PAY GRADE: $50,266.30 - $60,581.17 Annually
GENERAL STATEMENT OF DUTIES:
Under the supervision of the Director of Environmental Services, Customer Service and Security, performs administrative tasks assigned which may involve any area of department operations, such as business functions, information management, coordination and oversight of environmental services, customer service and security needs. This position will be knowledgeable about and actively support culturally competent recovery-based practices; person centered planning as a shared decision-making process with the individual, who defines his/her life goals and is assisted in developing a unique path toward those goals; and a trauma informed culture of safety to aid consumer in the recovery process.
ESSENTIAL DUTIES AND RESPONSIBLITIES:
The Administrative Assistant will aid the Director in the performance of functions related to the operation of the department, as assigned by the Director. Specific tasks to be performed will be assigned based upon the needs of the department, which may include coordinating and/or assisting the Director and supervisory staff with the following departmental activities.
Assists the Director of Environmental Services, Customer Service and Security in the performance of functions related to the operation of the department, as assigned. Specific tasks to be performed will be assigned based upon the needs of the department, which may include coordinating and/or assisting the Director and supervisory staff with the following departmental activities.
1. Serve as administrative assistant to the Director of Environmental Services, Customer Service and Security.
2. Provides information management support such as performance reporting, collection of data and information, use of the Internet, creation of databases, spreadsheets and generating reports using computer software such as Microsoft Word, Microsoft Excel, Microsoft Access, and the Data Warehouse.
3. Provide communication services, including receiving, fielding and placing phone calls, email, faxes and scanning for Customer Service.
4. Provide administrative coordination of contracted and temporary staff, including scheduling, training, etc. under the direction of the Director of Environmental Services, Customer Service and Security.
5. Organize, maintain and provide program support for policies, procedures, protocols, budgeting, annual planning, strategic initiatives and other projects/processes under environmental services, customer service and security.
6. Coordinate special projects under the direction of the Director of Environmental Services, Customer Service and Security.
7. Utilize information technology for the compilation, coordination and reporting of data. Current technology includes the Internet, the Electronic Medical Record, Microsoft Office applications, and other necessary applications.
8. Act as a liaison working with organizations in the mental health industry, community human service organizations, preparing educational materials, and coordinating educational and informational sessions as well as Health Fairs for the public.
9. Assist in the preparation and coordination of audits and reviews (i.e., MSHN, CARF).
10. Coordinate, organize and/or facilitate department and community events and trainings (i.e., MDHHS, MSHN, CMHAM, SCCMHA).
11. Assist with registration, arrangements, preparation and documentation related to conferences, training, workshops, meetings, and community events in coordination with the Public Relations Specialist.
12. Will assist consumers and/or their families in filling out forms or assisting in general questions. After assisting with filling out forms for barriers, complaints, or grievances, the information is forwarded to the appropriate person.
13. Provides back-up support to the customer service department when needed.
14. Communicate the mission, vision and core values of SCCMHA to staff while holding them accountable and implement these principles in all duties of this position.
INCIDENTAL DUTIES AND RESPONSIBILITES:
1. Provides back up support to the Customer Service Supervisor and general administration as requested or indicated.
2. May represent or provide report from Director of Environmental Services, Customer Service and Security at meetings, as directed.
3. Maintain and increase knowledge and proficiency in assigned duties.
4. May be required to drive to off-site work locations.

WORKING CONDITIONS/ENVIRONMENT:
Works in clinical office environment with usual pressures of time constraints, priorities, multiple projects and interruptions. Keyboard and computer screen use for long periods. May have exposure to persons who have potential for disruptive or violent behavior. Requires travel to multiple locations, sometimes in bad weather.
QUALIFICATIONS:
Education: An Associate degree with a concentration in human service or healthcare administration is preferred. A minimum of a High School diploma is required. Equivalent college or business training in health and human science along with two years of experience performing similar functions may be considered.
Experience: Three years’ experience as a secretary, working in the social work field, healthcare area or in a related field. This minimum requirement may be waived at SCCMHA discretion based upon the candidate’s overall job experience
Licenses and Certifications: Valid Michigan Driver’s license with good driving record.
Knowledge, Skills, and Abilities:
1. Overall knowledge of the continuum of services provided by community mental health or public health.
2. General business skills.
3. Computer competency, including word processing, spread sheets, databases, internet, E-Mail.
4. Ability to plan and organize work and provide small group leadership.
5. Effective oral and written communication skills.
6. Ability to organize and maintain data and information.
7. Problem solving. mediation and solution implementation.
8. Ability to maintain favorable public relations and provide community leadership.
9. Ability to exercise independent and mature judgment.
10. Ability to maintain strict confidentiality.
11. Ability to use tact and diplomacy and understand people from all social, economic, and cultural backgrounds.
Physical/Mental Requirements:
1. Hearing acuity to converse in person and on telephone.
2. Visual Acuity to read and proofread documents and use CRT.
3. Ability to walk, stand or sit for extended periods of time.
4. Manual dexterity to write and to operate standard office equipment (PC, Keyboard, Copy Machine, Fax Machine, etc.)
5. Ability to lift and carry files and supplies at least 20 pounds.
6. Strong interpersonal skills to interact with leadership, employees, consumers and the general public.
7. Analytical skills necessary to conduct research, analyze, and interpret complex data and identify and solve problems by proposing courses of action.
8. Ability to plan short and long range and to manage and schedule time.
9. Ability to handle stress in meeting deadlines and dealing with large numbers of employees and/or consumers.
