Description About the Opportunity The Office of the Provost at Cedar Crest College seeks an experienced and highly capable Executive Assistant to help ensure that the Academic Affairs division is well-coordinated, forward-looking, and effectively executed. The Executive Assistant plays a central role in the effectiveness of Academic Affairs, supporting coordination across the College’s academic schools, departments and inter-department programs, and administrative offices. The position provides primary executive support to the Provost while coordinating key academic and administrative processes that advance the work of the division. It also provides programmatic and event-based support to the Associate Provost and Assistant Vice President for Strategic Partnerships, including faculty programming, academic initiatives, and strategic partnerships. Key Responsibilities Executive Support & Coordination · Anticipate needs, resolve scheduling conflicts, and ensure the smooth flow of daily operations within the Office of the Provost · Manage and prioritize the Office of the Provost’s calendar as a strategic resource, aligning commitments with institutional priorities · Act on behalf of the Provost in coordinating communications, advancing priorities, and ensuring timely follow-through on decisions and commitments · Prepare materials, agendas, and follow-up communications to support effective leadership and decision-making · Support preparation and coordination of materials for Board of Trustees and senior leadership engagements related to Academic Affairs, as with the Trustee Academic Affairs committee Academic Affairs Operations · Coordinate faculty lifecycle administrative and academic processes, including appointments, reappointments, promotion and tenure, and annual evaluations · Maintain accurate and confidential records related to faculty and academic processes · Ensure the accuracy and coordination of faculty workload, appointment, and compensation processes, including teaching assignments and related reporting · Support faculty governance by coordinating Faculty Council, faculty meetings, and department chair meetings · Support tracking and coordination of Academic Affairs budgets and Office of the Provost expenditures, including event and operational spending · Provide leadership in coordinating and orienting administrative assistants across Academic Affairs, promoting consistent practices, effective communication, and alignment with College policies and procedures Project & Initiative Support · Track and support progress on key Academic Affairs initiatives, including strategic plan priorities, accreditation activities, and divisional projects · Identify opportunities to improve workflows, systems, and processes across Academic Affairs, and implement solutions that enhance efficiency and effectiveness · Coordinate across departments and offices to ensure timely execution and follow-through · Monitor timelines and help maintain momentum on complex, cross-team work Programmatic & Event Coordination · Plan, coordinate, and execute logistics for major Academic Affairs events, including Promotion and Tenure ceremonies, academic honors and awards events, Capstone Presentation Day, graduate-program hooding ceremonies, and others, while assisting with the delivery of Commencement and its associated activities. · Coordinate events such as faculty workshops, workforce development summits, and academic programs · Provide operational support for faculty programming and strategic partnership initiatives led by the Associate Provost and Assistant Vice President for Strategic Partnerships Communication & Office Management · Serve as the primary point of contact for the Office of the Provost, ensuring professional and responsive communication with faculty, staff, students, trustees, and external partners · Maintain and organize the Office of the Provost’s digital information resources, including website and SharePoint content, ensuring that policies, procedures, and forms are accurate, current, and accessible · Draft and coordinate correspondence on behalf of the Office of the Provost · Support a collaborative, well-organized, and service-oriented office environment Qualifications · College degree preferred (high-school diploma or equivalent required) · Minimum of 5 years of progressively responsible administrative or operational experience, preferably in higher education or a similarly complex organization · Demonstrated experience supporting senior leadership operations · Exceptional organizational skills with the ability to manage multiple priorities and deadlines with a high degree of accuracy Key Skills and Attributes · Strong judgment and discretion in handling confidential and sensitive information · Excellent written and verbal communication skills · Ability to anticipate needs, solve problems, and work independently · Experience coordinating projects, events, or complex workflows · Proficiency with office productivity tools and experience working with data systems and reporting tools · Strong interpersonal skills and the ability to work effectively across a diverse academic community · Experience working with complex data, reports, or systems requiring a high degree of accuracy and attention to detail strongly preferred · Strong digital fluency, including the ability to troubleshoot office technologies, adapt to new systems, and leverage tools to improve workflows and efficiency · Curiosity and willingness to explore emerging technologies, including AI tools, to streamline workflows, enhance communication, and support sound decision-making Qualifications What We Offer Be Part of a Purpose-Driven Academic Community Cedar Crest College is a women’s college committed to preparing students for leadership and service in a global society.
