As a Logistics Coordinatror at Total Fire Protection, you will play a crucial role in coordinating and optimizing the deployment of field service technicians to ensure timely and efficient service delivery. Your primary responsibility will be to schedule and dispatch service appointments, allocate resources effectively, and maintain effective communication with clients, technicians, and internal teams. This position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment. Responsibilities: Receive service requests from clients via phone, email, or online portals. Schedule service appointments based on availability of technicians, client preferences, and urgency of requests. Dispatch technicians to client locations, considering factors such as geographic proximity, skillset, and workload distribution. Optimize scheduling to minimize travel time and maximize efficiency. Assign appropriate technicians to service calls based on their expertise, availability, and workload. Monitor technician capacity and workload to ensure balanced distribution and timely completion of service requests. Coordinate with other departments, such as sales or project management, to allocate resources for larger projects or installations. Anticipate and address scheduling conflicts or constraints proactively to maintain a smooth workflow. Serve as the primary point of contact for clients, technicians, and internal teams regarding service scheduling and dispatch. Communicate service appointment details to clients, including date, time, and technician information. Provide timely updates to clients regarding any changes or delays in service appointments. Collaborate with technicians to address any questions or concerns related to their assigned service calls. Maintain accurate and up-to-date records of service requests, scheduling activities, and technician assignments. Enter and update information in the scheduling software or database to track service progress and completion. Generate reports on service performance metrics, such as response time, technician utilization, and customer satisfaction. Identify opportunities for process improvement and optimization in scheduling and dispatch operations. Collaborate with the management team to implement new strategies or technologies to enhance efficiency and customer experience. Participate in training and professional development activities to stay updated on industry trends and best practices. Requirements: High school diploma or equivalent; additional certification or training in scheduling or customer service is a plus. Proven experience in scheduling, dispatching, or a similar coordination role, preferably in a service-oriented industry. Proficient in using scheduling software, dispatch systems, or other relevant tools. Excellent organizational skills with the ability to prioritize tasks and manage time effectively. Strong attention to detail and accuracy in data entry and documentation. Excellent communication skills, both verbal and written, to interact with clients, technicians, and internal stakeholders. Customer service-oriented mindset with the ability to handle client inquiries or complaints professionally and efficiently. Problem-solving skills to address scheduling conflicts or resource constraints. Ability to work well under pressure and in a fast-paced environment. Proficient in using computer applications, including MS Office or similar software. Familiarity with the fire and life safety industry and related terminology is preferred.
