Description
Position Title: Vice President of Finance and Administration
Status: Full Time
FLSA: Exempt
Location: Washington, DC preferred (Remote available)
JOB SUMMARY & KEY PRIORITIES Active Minds is seeking an experienced, motivated and strategic Vice President of Finance and Administration to join its team. Reporting to the Chief Operating Officer, the VP of Finance and Administration will be a key member of the leadership team charged with oversight and execution of all financial processes and procedures, technology, and business operations at Active Minds. The VP of Finance and Administration is tasked with expanding thought leadership, cultivating and maintaining relationships, providing team leadership/management, and working cross-functionally with the Operations Team and all Active Minds departments. This role is responsible for driving innovation, strategic thinking, and execution of all Finance, Technology, and Business Operations priorities, ensuring that all members of the Active Minds team have the tools and resources they need to productively accomplish their roles.
This is an outstanding opportunity for a finance, tech, and operations executive with strong leadership experience and creative problem-solving skills in a high-growth, mission-driven organization. The VP of Finance and Administration will directly oversee the Director of Technology, Director of Operations and Special Projects, Senior Associate of Accounting, and contracted Bookkeeper.
ABOUT ACTIVE MINDS Active Minds is the largest nonprofit in the United States mobilizing youth and young adults to transform mental health norms across society. For more than 20 years, we have equipped the next generation of peer mental health advocates through a variety of programs, including the Active Minds Chapter Network, A.S.K., and Send Silence Packing. Our advocacy, initiatives, and campaigns foster lasting change in how youth view and discuss mental health, encouraging them to use their voices to influence broader conversations and inform mental health supports within their communities. Together, we are building a diverse movement of champions committed to improving mental health for all.
KEY RESULTS Financial Management (50%)
Lead all accounting and financial reporting for the organization, including overseeing the development of the organization’s annual budget and monitoring performance against individual grant and program budgets throughout the fiscal year Oversee annual audit process, including managing relationship with external auditor, and preparation and maintenance of reports needed for annual audit Report regularly to the Executive Director, Chief Operating Officer, and Board Treasurer on financial performance; provide regular insight on financial results and best practices Coordinate with division leads to ensure department finances are being tracked effectively and financial resources are being strategically allocated to meet organizational goals Facilitate and help manage the accounting monthly close and reporting in a timely manner Lead the Finance Department, providing supervision and strategic direction to the Senior Associate of Accounting and contract Bookkeeper Provide proactive, creative, cross-functional thinking and ideas to enhance organizational financial oversight Support the organization’s process for acceptance of complex gifts and assets Assist the Executive Director and Treasurer of the Board as needed, supporting execution of the organization’s investment strategy including overseeing updates to the investment policy statement, relationship with investment managers, and evaluation of investment activity Serve as primary staff liaison to the Board Finance Committee; effectively communicate and present critical financial matters at select Board of Directors and committee meetings Represent the organization externally, as necessary, particularly in banking and lease negotiations Ensure staff accountability to financial procedure via the completion of the Credit Card agreement form Administration (Technology and Operations) (30%)
Oversee the Director of Technology, and guide technology staff in ensuring that the platforms, software, and services in use continue to meet the evolving needs of the staff Lead strategic development of policies and processes to address IT needs and assure efficient, secure, and productive IT systems and support, including fostering a customer-service-oriented approach among IT and operations staff and vendors Partner with the Director of Technology to ensure org-wide initiatives are prioritized effectively on the IT roadmap, and reprioritization happens as new needs surface Ensure the Technology team’s strategic goals remain on track and are well communicated across the org at all times; regularly monitor progress and communicate updates &/or challenges to the COO Provide strategic oversight to the Director of Operations and operations staff to ensure that business operations, including maintenance of the physical office (e.g., office security, supplies procurement etc.), relationships with partners/vendors and landlords, drafting of Operations policies & procedures, internal operations audits, equity in operations at Active Minds, and all operational and administrative systems work effectively and smoothly to support the rest of the organization Manage team priorities and workflows to ensure operational functions are delivered efficiently and aligned with organizational goals Ensure the Operations team’s strategic goals and priorities remain on track and are well communicated across the organization at all times; regularly monitor progress and communicate updates &/or challenges to the COO Leadership (20%)
Supervise the Finance, Technology and Operations teams, ensuring their roles, responsibilities, and priorities are clear and executed effectively Implement an appropriate system of policies, internal controls, accounting standards, and procedures, working in collaboration with the Director of Operations & Special Projects Maintain continuous lines of communication, keeping the Executive Director & COO informed of all critical issues necessary for organizational leadership Provide analytical support to Active Minds’ Executive Team, including development of internal management reporting capabilities Develop skills & capabilities and provide growth opportunities for entire Administration and Finance Team Serve as member of the organization’s Leadership Team, responsible for operationalizing and assessing the organization’s strategic and innovation opportunities, culture-building, and more as needed QUALIFICATIONS About You
Energetic, flexible, collaborative, and proactive; a team leader who can positively and productively impact both strategic and tactical finance and administration initiatives Excellent interpersonal, verbal, listening, presentation and written communication skills and problem-solving abilities Ability to work independently while participating as an effective and collaborative member of interdisciplinary teams Excellent organizational skills and attention to detail Ability to prioritize, work effectively, adjust to multiple demands and follow tasks through to completion Entrepreneurial team player who can multitask Superior management skills; mentoring and coaching experience for a team with diverse expertise and ability to influence and engage direct and indirect reports and peers Effective tactical, strategic thinker and problem solver; self-reliant and results oriented Requirements:
Bachelor’s degree or other certification in finance, accounting, or related field; CPA certification, Masters of Accounting (MAC) and/or MBA preferred Thorough knowledge of GAAP and FASB topics as applied to nonprofits; must be familiar with nonprofit finance and accounting regulations High level of financial and analytical skills and extensive knowledge of financial policies, practices, and nonprofit systems A minimum of 10 years of relevant experience, including in a nonprofit environment, with at least 5 years of managerial experience in leading a team and mentoring staff in a high-growth environment Proven track record in the areas of planning, financial management and operational oversight Strong interest in and commitment to the mission and goals of Active Minds Must have Quickbooks Online experience; ERP and other accounting software experience a plus Experience with Salesforce a plus OUR CULTURE Active Minds is a place where every employee matters. COMPENSATION This position offers an initial salary range of $130,200-$151,900 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 7 salary band, and as such, has the potential to grow to $195,300 over time. FLSA Status: Exempt.

Reporting to the Chief Operating Officer, the VP of Finance and Administration will be a key member of the leadership team charged with oversight and execution of all financial processes and procedures, technology, and business operations at Active Minds. The VP of Finance and Administration is tasked with expanding thought leadership, cultivating and maintaining relationships, providing team leadership/management, and working cross-functionally with the Operations Team and all Active Minds departments.
