Intermediate to advanced proficiency in MS Office applications. College degree preferred. Must have a minimum of two years office manager experience. Job Duties & Responsibilities: Provides administrative and clerical support for the Dean of the Ivester College of Health Sciences. Assist with processing contracts and student documents. Maintains Ivester College of Health & Science budget. Generates Purchase Orders, Reconciles Credit Card Purchases, Places Orders. Assists in and supports the ICHS Medical Scholars high school recruiting program, working closely with the ICHS Medical Scholars Faculty Committee. Assists with campus visit planning for Ivester Healthcare Scholars from the Ivester Early College. Provides administrative and clerical support for the Institutional Review Board. Coordinates and works closely with the ICHS Graduate Hooding Faculty Committee for three Graduate Hooding ceremonies per year. Serve as the administrator to the Student Health Insurance Program. Provides support for meetings, seminars, retreats, and special events for the ICHS Dean. Supervises work study students. Collaborates with the college dean and department office managers regarding internet and intranet content on the Ivester College of Health Science’s web pages. Acts as a liaison for the maintenance, service and repair of the building exterior, interior, equipment and utilities Other duties as assigned Supervisory Responsibilities: No supervisory responsibilities required. Work Hours: Half-time. 20 hours per week. List hours. Hours may be extended to meet the needs of the department. Nights/weekends as needed. Appointment Length: 12 months, continuous Environmental and Working Conditions/ Physical Demands and Aptitudes: Sedentary work. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. Must have the ability to travel short distances, and/or drive a vehicle to deliver and pick up materials. Exerting up to 15 pounds of force to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Disclosure of subsequent legal action (conviction, dismissal of charges, etc.) must also be reported to the Office of Human Resources. It will be evaluated considering continued employment with the immediate supervisor. (4) Drug Screening: pre-employment/post-offer drug screens and random drug screens are performed for certain sensitive positions. Random drug screens are also performed on those who travel regularly, or those who operate a university vehicle. All employees are subject to reasonable suspicion drug screening.
