Description Responsible for the correct shipment of all orders to customers and subsidiaries. Responsible for accurate export and trade related documentations – errors in the documentation can result in enforcement actions and corporate fines. Responsible for the accuracy of incoming shipments i.e. part number, cost etc. and inventory accuracy. Confidential Information: Pricing, customer listing, material used Contact with Others: Internal – Supervisor level and below, Sales, Schedulers, Production, Finance, Trade Compliance External – Freight Forwarders, carriers, and drivers Errors: Errors in shipments can cause incorrect or incomplete shipments, or products shipped to the incorrect locations. Packaging errors can lead to damaged products and warranty returns. Errors in export and other trade related documentation can cause non-compliance with internal and governmental regulations and could lead to enforcement actions and corporate fines. Performance is Satisfactory When: Receiving All packing lists and/or pertinent paperwork are signed and dated. Appropriate salespeople notified immediately upon receipt of priority shipments Copies of packing lists and pertinent paperwork are maintained for six months. Work with accounting to reconcile problems that arise with vendors.Deliver the Highyag inventory to the proper inventory location in a timely manner Shipping Package and ship all domestic and international sales orders, special products, documents and materials. Follow all packaging and shipping procedures and work instructions. Verify counts, descriptions, serial numbers, country of origin, and labeling. Review packing lists for shipping instructions, shipment method, and documentation requirements. Prepare all export and other trade related documentation in accordance with internal and governmental requirements. Assure accuracy of all documentation, line items, descriptions, forms and package content. Enter accurate shipping information into ERP system. Manage carrier manifest process and package pickup. This includes: processing packages through appropriate shipper’s manifest process (including airway bill with each package); arranging for carrier pick-ups; providing end-of-day documentation to each carrier’s driver. Ensure proper distribution of paperwork and airway bills to correct salesperson for all international shipments. Maintain proper storage of all documents for shipments in the shipping folder. Support internal customers with schedule changes, freight inquiries, and document inquiries. Provide all necessary shipping and customs documentation to Freight Forwarder/Carriers (including commercial invoices, USMCA Certifications, Bill of Lading, Packing list, etc.) Prepare filing with the government (ACE). Inventory Conduct quarterly inventory counts of the Highyag US Inventory. Re-package any inventory that is sold per piece that arrived packaged in packs. Ensure all parts are labeled and can be easily found by any shipper. Keep inventory accurate by material number order both in the room and storage building. Other Import declaration forms for Highyag repairs Review and approve pro-forma invoices prior to shipments from Highyag GmbH. Complete shipper duty verification for 7501 for shipments coming from Highyag GmbH. Education & Experience Education: High School Diploma or equivalent required. Export control and hazardous material certification desired Experience: 5-7 years’ shipping and/or receiving experience preferred in an organization that utilizes a computer-based reporting system. Knowledge of import/export practices and regulations desired. Knowledge of DOT regulations is desired. Forklift experience desired. Skills & Other Requirements Well-developed organizational, computer data entry skills. Ability to work with minimal supervision and adjust to daily work requirements. Excellent customer service skills including telephone techniques, listening skills sense of urgency and enthusiasm. Excellent verbal and written communication skills; ability to communicate effectively with end-users and management. Must be physically capable of lifting/moving lb. Packages. Proficient math skills. Able to handle diverse, high volume, detailed tasks with minimal supervision. Able to understand and complete export shipping documents Working Conditions Working Conditions: Range from receiving and packaging on the shop floor to detailed documentation and data entry. Mental/Visual Demand: Must have a high degree of flexibility and proficiency while working on many tasks in parallel; the ability to successfully manage requests and tasks for both internal customers and external service providers; ability to collect and analyze pricing and other information from carriers and make recommendations to management. Physical Requirements Must be physically capable of routinely lifting/moving up to 35lb packages; and 50lb packages with assistance. Safety Requirements All employees are required to follow the site EHS procedures and Coherent Corp. Corporate EHS standards.
