Job Summary:
Sets up and maintains probation, civil, criminal and traffic case files and other court related records. Prepares and processes statistical and other reports and various legal documents. Provides information and assistance to law enforcement officers, attorneys, defendants and court patrons. Substitutes for other court staff and provides general clerical assistance to the Judges and administrative staff.
Starting Wage: $24.26 per hour, full-time position

Responsibilities and Duties :
1. Creates and maintains probation files by obtaining police reports, driving records, court records, LEIN and personal information. Enters and maintains all information on the Court’s case management system.
2. Types probation orders, pre-sentence reports, letters, bench warrants, judgments, discharges and related probation documents.
3. Ensures that case files are complete and ready for review by court staff for court proceedings. Prepares probation case activity and demographics related reports. Provides, obtains and discusses case information with state, treatment and law enforcement agencies.
4. Assigns new cases to probation officers and maintains a schedule of client interviews with their probation officers. Verifies attendance at and completion of counseling and other treatment.
5. Receives traffic and criminal complaints, opens case files and updates case information on the computer.
6. Schedules court proceedings and issues scheduling notices to the appropriate parties; provides information about court policies, procedures, case status and court proceedings to attorneys, law enforcement officers,
defendants, court patrons and appropriate agencies.
7. Monitors case files and initiates enforcement action on overdue citations. Prepares and issues delinquency notices. Distributes and cancels search and arrest warrants as authorized. Conducts second party checks of LEIN entries.
8. Receives, receipts and records fine, costs, bonds, fees and other monies. Notifies appropriate staff to issue refunds, forfeit and/or apply bond monies to pay fine, costs and other assessments, or distribute monies in accordance with court orders. Balances daily cash receipts as required.
9. Creates and updates general civil, small claims and summary proceeding case files.
10. Issues writs of garnishments, verifies garnishment account and judgment balances, and coordinates service of process.
11. Performs other clerical and secretarial tasks, such as answering phones, processing mail, ordering office supplies and taking questions at the public service counter.
12. Assists in other areas of the office or court as required.
Required Education and Experience
High school diploma or equivalent GED Six months to 1 year of clerical experience, preferably in a district court or probation department or closely related setting. View entire job description
