THIS IS AN ONSITE POSITION LOCATED IN EAGAN, MINNESOTA
John Henry Foster MN (JHFOSTER) is seeking an Accounts Receivable Specialist located in Eagan MN . The purpose of this position is to assist in the accounting office by posting daily receipts, monitoring and updating customer tax-exempt status , updating customer billing and shipping information, gathering and posting credit card transaction, reconciling credit card settlements, providing back up phone coverage on a rotational basis for receptionist breaks and vacations, and assisting with other duties as needed within the department. Essential Duties and Responsibilities:
1. Daily Receivables
Post daily cash receipts to appropriate accounts. Confer with collections staff or call customers when questions/discrepancies arise. Run receivables reports and journals to ensure check batches balance. Work with accounting staff to offset credit card payments, miscellaneous credits and make invoice adjustments. Follow up with customer and/or collections staff when customers short-pay, over-pay or take credits not yet in the system. Reconcile credit card settlements posted in accounting system to merchant bank settlements. Manage invoicing and payment follow up on customer third party sites. 2. Customer Sales Tax Maintenance and Reconciliation:
Communicate with customers regarding all sales tax discrepancies. Request current tax-exemption forms as needed for each jurisdiction. Import customer record & tax-exempt forms into Avalara CertCapture for validation. Make corrections or obtain new documentation for invalid certificates. Apply internal credits for sales tax charged to customers in error. Other duties:
1. Monitor general accounting e-mail box with other accounting staff. Respond to requests for invoice copies, order information and other miscellaneous questions.
2. Complete all New Vendor Set Up requests and provide relevant documentation required to issue payment to JHFoster (W-9 form, ACH information, Wire instruction, etc.). This may require working interdepartmentally to obtain all requested information.
3. Fill out ACH request forms for customers requesting to switch to ACH payment
4. Attend departmental meetings to keep communication lines open and discuss current issues.
Qualifications, Skills and Education:
High school diploma, college credits or equivalent experience in accounting and customer service. Proficient in Microsoft Office programs (Word, Excel, Outlook, etc.) Experience with AvaTax (sales tax automation software) preferred Knowledge of basic accounting practices Knowledge of sales tax practices and guidelines Accuracy and attention to detail Strong Organizational Skills Effective written and verbal communication Strong customer relations skills Capable of working as part of a team Flexibility Ability to prioritize and perform multiple tasks Physical Demands.
