Purpose: Worley is currently looking for a Document Controller II who will provide guidance and support to Project Management teams, internal staff, vendors, subcontractors, and clients when needed. The ideal candidate will be well rounded in the use of document management systems such as Electronic Document Management System (EDMS) and be responsible for document coordination efforts and effective technical writing in the creation of documented procedures. Responsibilities: Perform document control services on various projects in accordance with Worley document management systems, controls, processes and procedures, and any project specific or other regulatory requirements. Collaborate with the Manager, Information Management on the development and review of project plans, contract exhibits, schedules, and resources. Thinks strategically, and work with a myriad of stakeholders from multiple department groups to assist with the delivery of project requirements. Make decisions using established guidelines, procedures and or policies. Attend meetings representing the Information Management team. Assist project teams on the development and implementation of process workflows. Ability to validate and analyze suggested approaches to issues raised by other IM team members. Ability to supervise teams of up to 10 people and direct their daily work. Support other team members to balance workload. Produce and distribute status reports to the project team as required. Ensure all current and relevant documentation is uploaded to the document management system by regularly conducting Quality audits. Hand-over, closeout and archive project documentation on time and in accordance with project requirements. As required, receive, enter, transmit and file project documentation including Worley, client, vendor and third-party documentation. Check all documentation received is legible and contains appropriate approvals. Support other team members to balance workload. Assist with the improvement of the project document control processes and procedures. Ensure all project documentation is processed, transmitted and filed in accordance with the relevant document management system, and can be retrieved in an accurate and timely manner. Produce and distribute status reports to the project team when required. Assist with the reproduction of documentation across different mediums. Ensure all current and relevant documentation is uploaded to the document management system or project websites as required e.g. Microsoft SharePoint. Handover, closeout, and archive project documentation on time and in accordance with project requirements. Deliver project document control against project procedures for internal and external design and vendor documents and project correspondence. Undertake project filing, archiving and handover preparation. Maintain electronic document flow within project team, and from / to contractors or vendors. Maintain the Doc Control Systems and Electronic Document Management System (EDMS) content. Prepare document performance reports (status, progress and forecast). Liaise with and assist the external document control contractors (e.g. bulk loading, document reclassification, etc.). What you will bring Technical/Industry Experience and Qualifications Requirements: Proven experience with Electronic Document Management System (EDMS) Work with clients EDMS Procore. Experience with Supplier documentation. Be familiar with the concept of metadata. Have exceptional attention to detail. Knowledge of document control processes and systems on projects, and knowledge of interface management with vendors will be required. Knowledge of engineering documents and approval processes within projects. Experience in using document management systems such as Microsoft Office, EDMS, SharePoint and Documentum Knowledge of Records Management. Experience of working within large project organizations and performing effectively in a multi-disciplinary, multi-cultural environment Additional information: This is an on-site position and is not eligible for Hybrid or remote. Education – Qualifications, Accreditation, Training: Required: High School Diploma Preferred: 3 plus years of experience in the oil & gas industry as a Document Controller Moving forward together We want our people to be energized and empowered to drive sustainable impact.
