Compensation $25.00 - $27.50 per hour The base salary will be determined based on your location, experience, and the pay of employees in similar positions. Actual total compensation will be dependent upon the individual's skills, experience and qualifications. Benefits: 15 days of PTO 9 Paid holidays Medical/Dental/Vision Insurance 401k + Employer Match Wellness App with reimbursement of up to $500 per year Profit Sharing Position Summary Location: Santa Clara, CA Shift: Day shift, Monday - Friday The Punchlist Coordinator is an intermediate admin role that supports multiple teams within our Sales and Operations divisions. The Punchlist Coordinator will interface with vendors as well as external clients and have the ability to prioritize their work and have a high attention to detail. This role will require a level of problem solving, at times, with short notice. Responsible for processing and ensuring timely resolution of all punchlist issues, ESSENTIAL FUNCTIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable Accommodations may be made to enable qualified individuals with disabilities to perform the essential functions. Supports the Project Management Team with resolution of punch lists Proactively manage open issues with Wrike to identity status, steps, and the full scope of the issue Reviews resolution of issues and takes action with ordering product with vendor, including obtaining replacement costs from vendors Opens and tracks laser tickets thru to completion and reimbursement Enters orders to complete punches and receive labor reimbursements for time spent due to vendor defects Obtains vendor acknowledgment for accuracy of the product and timely shipping KNOWLEDGE, SKILLS, & ABILITIES Requires self-motivation with strong interpersonal skills and ability to ask pertinent questions to determine client needs High attention to detail and accuracy Must be assertive, flexible, and have a strong sense of urgency Ability to work independently and prioritize tasks is essential Excellent written and verbal communication skills Ability to provide excellent customer service and foster both internal and external relationships Must be able to effectively solve problems and make decisions in the best interest of One Workplace and the client Dedication and commitment to promote diversity, multiculturalism, and inclusion in all work activities. Collaborate in diverse teams to foster productive outcomes. Personal Competencies Self-Development: Actively seeks new ways to grow and be challenged using both formal and informal development channels. Relationship management and Teamwork : The ability to leverage interpersonal skills to establish rapport and develop relationships as part of a multifunctional team in a fast-paced, collaborative and deadline driven environment. Time Management: Ability to multi-task to meet goals, good time management skills and ability to take ownership for project deliverables. Communications & Problem Solving : Ability to remain optimistic and enthusiastic while creatively solving problems. Convey information to all key stakeholders in both written and verbal formats. Determine and utilize the appropriate communication channels. Empathy, Involvement & Support: Listen and respond with empathy. Ability to understand issues and different perspectives of others. Ability to ask for help and encourage others. EDUCATION/EXPERIENCE High School diploma, or equivalent and two-three relevant experience, or combination of education and experience to perform essential duties. Prior customer service and/or coordination experience. Proven Knowledge of MS Office suite software. Experience with using project management system Working knowledge of Microsoft Office programs and ability to learn internal system (Hedberg and Smartsheet) Physical Requirements Seeing, hearing, color perception, clear speech Ability to move distances within the office and warehouse Complex reading and writing, basic math skills Working Environment Regularly works alone and with others in person, over the phone and via email. Generally, works in an office environment around moderate noise. Occasionally may work in the warehouse around loud noises.
