DUTIES/RESPONSIBILITIES In this position, you will: Work independently with a high level of self-direction as well as in partnership and in cooperation with project teams and corporate groups. Supports Construction Services staff and project teams with purchase orders, work authorizations, travel arrangements, vendor accounts, procurement of field equipment and supplies, permits and other tasks, as assigned. Proactively develops project specific work agreements and sends for modifications or approvals in a timely manner. Cross trains with procurement staff to provide backup support. Attends project meetings as requested and may be responsible for taking notes and maintaining action item lists. Communicates with agencies and authorities to collect information and data for projects. Validates data to ensure accuracy and identifies and corrects errors. Assists in the preparation of qualifications packages, resumes, and other marketing materials. Maintains and updates marketing collateral. Manages complex, detailed tasks including meeting and event coordination/planning, conference calls, calendars/schedules, travel arrangements and correspondence. Provides backup support to other administrative staff as necessary. Provides timely responses to requests for administrative assistance and completes assigned work in a timely manner. Acts as a positive and effective representative for administrative services. Performs self-checking of work product for accuracy in meeting the assigned task and for adherence to company standards, and to minimize rework. Remains current on company policies and procedures and articulates them clearly to staff as needed. Perform other tasks as requested. SKILLS/EXPERIENCE Minimum Skills and Requirements: 4+ years of corporate work experience. Strong attention to detail to deliver high quality work products that meet document standards. Able to respond promptly and effectively to external and internal clients and efficiently manage time to prioritize tasks. Excellent verbal and written (grammar, punctuation, etc.) communication skills and exceptional interpersonal skills. Must be proficient with all Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro XI. Must possess intermediate skills with SharePoint and MS Project. Familiarity with operating standard office equipment (phones, copier, printers, fax, LCD projector, etc.). Familiarity with email manipulation of files: attachments, CD versions, document management, etc. Proven track record of executive support and confidentiality Experience supporting construction services a plus.
