POSITION SUMMARY:
Providing an exceptionally high level of customer service to all guests via face to face reception desk, phone and email queries. Retailing lessons/tours and creating reservations while working in either a fast paced, busy, team environment or independently and autonomously in a solo environment.
POSITION DUTIES & RESPONSIBILITIES:
Provide an exceptionally high level of customer service to all guests via face to face, written and phone communication.
Retailing lessons/tours and creating reservations for tours
Responding to all guest enquiries and queries in a timely and friendly manner including email, phone and face to face
Monitoring the reception desk and greeting guests with a smile
Opening and closing duties of the office
Cash handling and credit card payments
Maintaining a clean and safe reception environment through daily cleaning and maintenance
The ability and flexibility to work both autonomously at solo desk locations and at our fast-paced team desk locations
Providing information to guests about Evergreen products/services, transport, the Hakuba area and the mountains
The Guest Services Attendant is responsible for the first interaction a customer has with Evergreen, whether it be a phone call, email or face to face interaction. It is imperative that we make a great first impression and portray ourselves as warm, friendly and well-informed about our company, products and services
Making and completing lesson/tour bookings via all avenues of customer contact
Notifying management if there are any risks to safety/hazards
ADDITIONAL DUTIES:
Due to the many variables that affect business operations, occasionally, employees may be asked to perform other duties or assist in efforts outside their primary area of responsibility, when deemed necessary. This may include performing in any subordinate position
GENERAL DUTIES:
Daily:
Ensure tasks and duties are performed in compliance with accepted work-safe practices, procedures, and legislated health and safety standards of Japan.
Be proficient in base communication and safety response protocols / procedures
Report any injuries or hazards to management team
Attend morning meetings or announcements as directed by Guest Services Manager or Guest Services Supervisor
Set up desk and Reception Area for the day ahead
Monitor bookings for any cancellations
Retail ski and snowboard lessons
Work to expedite guest arrival and departure experience
Maintain and update Roomboss bookings
Assist in maintaining a clean and efficient work area
Assist in performing bathroom checks as per roster
Present a tidy and groomed appearance at all times
Assist guests with all queries via face to face, phone and email interactions
Provide guests with information regarding the mountain and town
Consider complaint escalation procedure if working with an unsatisfied guest
Complete end of day cash reconciliation
Complete end of day closing duties including pack down and reset for the following day
Identify any knowledge gaps and approach Guest Services Supervisor or Guest Services Manager for training if needed
Weekly:
Ensure all paperwork is complete and correctly archived
Assist in maintaining a well-stocked, clean and tidy office area
Participate in staff meetings as directed by Guest Services Supervisor or Guest Services Manager
Monthly:
Participate in training, professional development and performance management
Seasonal:
Participate in season induction training and staff development
Participate in mid-season performance reviews for staff
Assist in end of season ‘summarization’ of the office and pack down
Work to update necessary office manuals, Occupational Health & Safety information, and distribution/ trainings
