Description

Office Coordinator 📍 Austin, Texas, United States On-site The Office Coordinator is a service-oriented professional responsible for the end-to-end management of daily office operations in a single-person environment. This role serves as the central point of contact for employees, leadership, clients, and vendors while ensuring the office operates efficiently, professionally, and in alignment with organizational standards. The Office Coordinator is accountable for maintaining a seamless, hospitality-driven workplace experience, managing facilities and vendor relationships, and supporting administrative and operational priorities with minimal oversight. What You'll Do: Office Operations & Workplace Management: Oversee all day-to-day office operations, ensuring a fully functional, clean, and professional environment. Manage office opening/closing procedures and daily readiness. Maintain meeting rooms, common areas, and reception space. Ensure office supplies and equipment are stocked and maintained. Front-of-House & Client Experience: Serve as the primary point of contact for employees, visitors, and clients. Deliver a welcoming, polished, and professional experience. Manage visitor registration and support meetings and executive visits. Facilities & Vendor Management: Act as liaison with building management and service providers. Coordinate vendors including cleaning, maintenance, and IT/AV. Track work orders and ensure timely resolution of issues. Administrative & Operational Support: Manage office purchasing, expense tracking, and budgets. Maintain SOPs and documentation. Support leadership with administrative and project coordination tasks. Workplace Experience & Events: Ensure seamless execution of meetings and events. Maintain a guest-ready environment. Support workplace culture and engagement initiatives. Partner with local food providers to deliver catering and food service for meetings and events. Autonomy & Site Ownership: Independently manage all office functions. Prioritize competing demands and respond to operational needs. Act as on-site decision-maker and implement improvements. What We're Looking For: 4–7+ years of experience in office management, workplace experience, or facilities. Experience working independently preferred. Strong knowledge of vendor management and office operations. Preferences: Background in private equity or financial related firms/ environment With executive management background (manages VIPs/ top tier clients and visitors) Core Competencies: Ownership and accountability. Service excellence. Organization and multitasking. Problem-solving. Professional communication. Work Environment: Site-based, single resource model. Requires physical presence, including walking and occasional lifting. Flexibility required for events and urgent needs. Travel: N/A Compensation: The expected compensation is an estimate, and the final offer will depend on skills, experience, and other job-related factors. Use of Artificial Intelligence (AI): No AI or automated decision-making tools are used to screen, assess, or select candidates for this role.
