ABOUT WILLIAMS LAKE FIRST NATION (WLFN)
The Williams Lake First Nation (WLFN), or the T’exelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe.

POSITION
Reports to the Manager of Strategic Business Development Operations. The Corporate Administrative Support position provides comprehensive administrative and organizational support to the leadership team of Sugar Cane Development Corporation (SCDC) and its affiliated entities. This role ensures the smooth coordination of daily corporate operations through effective communication, scheduling, document management, financial tracking, and event coordination. The role serves as a key liaison between internal departments, external partners, and community stakeholders while maintaining the highest level of professionalism and confidentiality. This position requires strong multitasking abilities, attention to detail, and a proactive approach to supporting corporate priorities and special projects in a dynamic and entrepreneurial environment. This role directly supports the day-to-day operations and growth of WLFN-owned businesses, contributing to overall efficiency, professionalism, and organizational performance.
Employment Type
Permanent, Full-Time (35 hours per week).
Probation Period
3 months from the date of hire.
Education Required
Post-secondary certificate or diploma in Office Administration, Business Administration, or a related field required.
High School Diploma with significant and demonstrated administrative experience may be considered.
Experience Required
Minimum 2 years experience in an administrative or corporate support role.
Experience supporting senior leadership or management teams is an asset.
Experience with financial processing, invoice tracking, expense reconciliation, or records management is an asset.
Experience working within Indigenous organizations, economic development corporations, or community-based enterprises is an asset.

DUTIES & RESPONSIBILITIES
Complete a wide variety of administrative tasks including assisting with special projects; preparing and producing reports, correspondence, and presentations; collecting and organizing information for meetings; and completing expense and mileage reports.
Provide direct administrative support to corporate leadership including calendar management, scheduling coordination, and executive communications.
Serve as a liaison between corporate offices, business managers, staff, partners, and external stakeholders.
Track project timelines, action items, and follow-ups to ensure corporate initiatives remain organized and on schedule.
Coordinate logistics for meetings and corporate events including preparation of agendas, documentation, and accurate minute-taking.
Maintain and organize corporate documents, digital files, contracts, and records in a professional and confidential manner.
Support financial administrative tasks including credit card reconciliation, invoice tracking, expense monitoring, and basic budget support.
Assist with marketing and communications initiatives including newsletters, branded materials, and administrative support for promotional content.
Proactively support daily business operations, which may include occasional travel to retail locations or project sites, addressing operational matters, and managing time-sensitive priorities.
Support and uphold the mission, vision, and values of Williams Lake First Nation.
Contribute to the ongoing success of WLFN-owned businesses by performing other duties as required or assigned.
Knowledge
Comprehensive understanding of administrative and office procedures.
Familiarity with corporate communications, event coordination, and document management systems.
Basic knowledge of financial processes such as expense tracking and reconciliation.
Awareness of First Nations governance structures, community values, and organizational protocols is an asset.
Understanding of confidentiality requirements in handling corporate and personnel information.
Skills & Abilities
Exceptional organizational and time management skills with the ability to prioritize multiple tasks effectively.
Strong written and verbal communication skills, with attention to clarity and professionalism.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital collaboration tools.
Ability to create polished and accurate documents, reports, and presentations.
Demonstrated ability to work both independently and collaboratively in a team-oriented environment.
High degree of discretion, professionalism, and sound judgment.
Adaptable and responsive to changing priorities and deadlines in a fast-paced corporate environment.
Positive, respectful, and customer-focused attitude when dealing with staff, leadership, and community members.
