Description
DOT/FAA Drug and Alcohol Program Coordinator (Hybrid)
We are seeking a highly organized and detail-oriented DOT/FAA Drug and Alcohol Program Coordinator to assist in the management and oversight of our drug and alcohol testing program in full compliance with Department of Transportation (DOT) and Federal Aviation Administration (FAA) regulations.
This hybrid role offers flexibility in work arrangements while ensuring that our organization adheres to the highest standards of safety, regulatory compliance, and employee wellness. Experience in supporting or participating in audits is highly desirable.
This is a highly responsible and fast-paced position that requires strong decision-making skills, sound judgment, and the ability to maintain a firm and professional approach when enforcing policies and regulatory requirements. The ideal candidate must be confident, resilient, and capable of exercising professional authority, as the role involves handling sensitive situations, ensuring accountability, and upholding strict compliance standards.
During the first week of onboarding, the selected candidate will be required to work on-site in Grand Island, Nebraska, at the airport. This initial in-person training experience is designed to provide hands-on exposure to program operations, establish key working relationships, and ensure a thorough understanding of company procedures, compliance expectations, and regulatory requirements. Daily virtual meetings will continue throughout the duration of the training period, followed by weekly meetings thereafter.
Candidates located within a 60-mile radius of Grand Island, Nebraska are preferred but relocation is not required. Travel expenses for the initial onsite training will be covered by Trego Dugan Aviation.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Adhere to policies and procedures for the drug and alcohol program in accordance with DOT and FAA regulations.
- This position follows a Monday through Friday schedule (8:00 AM – 5:00 PM Central Standard Time) and includes participation in a rotating on-call schedule, providing 24/7 coverage every other week.
- Oversee the administration of the drug and alcohol testing programs, including ensuring proper selection methods, scheduling, and documentation.
- Coordinate with third-party service providers and laboratories to ensure compliance with testing procedures and reporting.
- Maintain accurate records of testing results, training documentation, and compliance reports, ensuring confidentiality and data protection.
- Respond to inquiries from employees regarding the drug and alcohol program, including testing processes, consequences of violations, and available resources.
- Assign and maintain accurate and up-to-date records of employee and management training sessions on drug and alcohol policies, procedures, and compliance requirements.
- Monitor program effectiveness and regulatory changes, making recommendations for improvements as necessary.
- Collaborate with HR and legal teams on handling violations.
- Stay informed about industry trends and updates related to drug and alcohol testing and FAA regulations.
- Maintain and manage inventory of drug testing supplies, ensuring adequate stock levels, proper storage, and timely replenishment. Develop expertise in the drug testing application process to support ongoing hiring and compliance efforts.
- Duties and responsibilities may expand as the role evolves and organizational needs change.
QUALIFICATIONS:
- An associate’s degree in human resources or safety or a related field is preferred.
- 2+ years of experience in drug and alcohol program administration, preferably in a transportation or aviation setting.
- Strong knowledge of DOT and FAA drug and alcohol testing regulations, or experience within other highly regulated agencies or industries.
- Excellent organizational skills with keen attention to detail.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite and experience with data management systems.
- Ability to work independently and collaboratively within a hybrid work environment.
