Description
The Arts Program Assistant plays a vital role in supporting the Director of the Arts and advancing the mission of the Collegiate Arts Program. This position provides comprehensive administrative, operational, and event support for both the visual and performing arts. The Arts Program Assistant collaborates closely with faculty, staff, students, families, and community partners to ensure the successful execution of performances, exhibitions, and special events while contributing to the continued growth of a dynamic and evolving arts program.
This is a full-time, 10-month position reporting directly to the Director of the Arts.
General responsibilities will include:
Event and House Management Serve as House Manager for school performances and events, including concerts, theatrical productions, assemblies, parent programs, dress rehearsals, and facility rentals Coordinate and supervise parent and student volunteers as needed Oversee front-of-house operations to ensure a welcoming and professional experience for all guests Box Office and Ticketing Manage the online ticketing platform, including event setup, sales tracking, and reporting Coordinate in-person ticket sales and event-day box office operations Hershey Center Operations Serve as a primary point of contact for visitors and event attendees; meet and greet guests Operate the RAPTOR visitor management system Coordinate room scheduling and event setups Submit maintenance requests and facility use forms Administrative and Operational Support Manage departmental purchasing and maintain accurate records Coordinate mail and package distribution for the Arts Department Assist with the creation and distribution of promotional materials in collaboration with faculty and communications staff Attend staff meetings and contribute to departmental planning efforts Support other operational needs of the Arts Department as assigned Demonstrate flexibility and a willingness to work evenings and weekends in support of performances and events Successful candidates will possess the following qualifications and competencies:
Proficiency with Google Workspace (Drive, Docs, Sheets, Slides, Calendar) Experience with Canva or similar design platforms Experience managing events or working in a performance venue or public-facing environment Basic knowledge of sound and lighting systems preferred Strong cross-cultural competencies Demonstrated commitment to fostering and sustaining an inclusive school community Passion for the arts and arts education It is critical that candidates demonstrate a commitment to the School’s Core Values and Mission
