Description
This position will serve as clerical support for the Local Intellectual Developmental Disabilities Authority (LIDDA) department under the direct supervision of the Director of IDD Authority Services. This position will operate the front desk at the IDD services building location and direct individuals, agencies, and phone calls to designated locations. This position serves as the direct local contact for all IDD intake referrals for individuals seeking services or information and supports staff in the department. IDD Authority Team Leads assist Director in direct supervision of position.
Responsibilities include, but are not limited to:
Answering phone calls, directing calls and referrals for services to appropriate staff members, taking messages, sending letters and correspondence of documentation, and scheduling appointments for initial IDD intake referrals received. Position will prepare and send correspondence of documentation to indviduals, LARs, agencies, and program providers via fax, mail, or secure email. Position will perform complex data entry in the Client Assignment Registration data base (CARE), Texas Medicaid Healthcare Portal (TMHP), and Helen Farabee Centers’ software system (SmartCare). Run reports from various computer programs. Make travel arrangements for the department for out-of-town day or overnight trips. Purchase Orders for the department for needed supplies including psychological testing protocols. Perform departmental fixed asset reviews when requested. Submission of Center vehicle paperwork monthly that includes fuel receipts and vehicle logs. Completion and coordination of initial and annual financial assessments for individuals receiving General Revenue (GR) program services as indicated. Completion of work orders for the building as items arise. Performs monthly building inspections, conducts drills (tornado, fire, bomb, active shooter, chemical emergency), and all other safety duties delegated as the Secondary Emergency Coordinator for the IDD services building. Position requires initiative, independence, excellent communication and organizational skills and the ability to interact in a professional manner with a variety of staff members, individuals, family members and community agencies. Other clerical duties may be assigned as the needs arise in the department. Work is performed within established guidelines, policies and procedures. Must attend all appropriate meetings. HFC incorporates principles of trauma-informed care throughout the agency, emphasizing cultural sensitivity and a safe and respectful environment for all individuals served and staff. All job descriptions include the responsibility to learn about and implement trauma-informed practices within the scope of work for the position. Reassignment is a condition of employment that may occur at the employer’s discretion. Your work location and hours could change based on program needs.
Qualifications
Education, Training, and Experience
Must be a high school graduate or have a GED, one year of office experience preferred. Demonstrate job stability. Must have experience in automated office systems such as Microsoft Office, Excel, Outlook, etc.
Must have current driver’s license and be insurable under Center insurance. Must pass and maintain all Center-mandated trainings.
Knowledge, Skills, and Abilities
Ability to read and proof correspondence, reports, computer printouts, etc.
Excellent spelling and grammar. Ability to write memos, letters, various complex reports, miscellaneous documents
Skilled in the use of personal and network computers, word processing, database, spreadsheet, and office management software (Microsoft Office), HFC comparable software, familiarity with CARE, TMHP, SmartCare a plus.
Ability to relate to verbal instructions, communicate in a courteous and effective fashion with co-workers, individuals receiving services and families, agencies, and the public.
Ability to use copy machine, fax machine, computer, and printer. Experience with telephone, dictation/transcribing equipment.
Excellent interpersonal skills in working with staff and outside agencies.
Ability to work in an efficient and timely manner to stay on top of paperwork and telephone calls received.
