Primary Goal for Hiring: Grow brand visibility and thought leadership Build a stronger online presence Generate leads from corporate clients and professional women Create systems and processes to support business growth Have a proactive partner who can help execute marketing initiatives consistently FULL JOB DESCRIPTION Position Title: Marketing & Business Support Virtual Assistant Industry: Corporate Wellness, Executive Coaching, Leadership Development, Women's Wellbeing Location: Remote Employment Type: Part-Time (with potential to grow) About the Business Essence of Wellness is a growing wellness and coaching practice founded by Nirmala Harripersad, an Integrated Health & Wellness Coach and Corporate Wellness Facilitator based in the Greater Toronto Area. The business helps organizations and professional women reduce burnout, improve clarity and resilience, and create sustainable workplace wellbeing through coaching programs, leadership wellness initiatives, workshops, seminars, and organizational wellbeing strategies. We are seeking a proactive, resourceful, and highly organized Virtual Assistant who can support marketing, content management, business operations, and growth initiatives while helping establish efficient systems and processes. Position Overview This role is ideal for a Virtual Assistant who enjoys combining marketing support, content management, administrative assistance, and business development activities. The successful candidate will work closely with the founder to increase brand visibility, streamline operations, strengthen social media presence, and support lead generation efforts. We are looking for someone who can not only execute tasks but also provide recommendations, identify opportunities for improvement, and help create structure as the business continues to grow. Key Responsibilities Social Media Management Schedule and publish content across LinkedIn, Instagram, Facebook, and other relevant platforms Repurpose existing content into multiple formats Create social media graphics using Canva Maintain a consistent content calendar Monitor engagement and notify the founder of opportunities for interaction Research industry trends and content ideas related to wellness, leadership, burnout prevention, and workplace wellbeing Content Support Format and upload blogs and articles Assist with newsletter preparation and distribution Repurpose webinars, workshops, and coaching content into social media posts Create presentation materials and workshop assets when required Organize and maintain content libraries Marketing & Lead Generation Research potential corporate clients and partnership opportunities Assist with LinkedIn outreach campaigns Support lead generation initiatives Maintain prospect databases and CRM records Track marketing activities and campaign performance Assist with event promotion and workshop marketing Administrative Support Calendar management and appointment coordination Email inbox management when required Meeting scheduling and confirmations Client onboarding support Document preparation and organization File management and cloud storage organization Business Operations Support Create and document Standard Operating Procedures (SOPs) Assist in implementing systems and workflows Help prioritize projects and initiatives Track ongoing projects and deadlines Provide recommendations for improving efficiency and business processes Research & Strategic Support Conduct market and competitor research Identify speaking opportunities, podcasts, networking events, and corporate wellness opportunities Research tools, platforms, and resources that support business growth Provide insights and recommendations for business development initiatives Required Skills & Experience Must-Have Skills Strong written and verbal English communication skills Experience supporting coaches, consultants, wellness professionals, or service-based businesses Social media management experience Content creation and content repurposing experience Excellent organizational and project management skills Strong attention to detail Ability to work independently and proactively Experience creating and maintaining systems and processes Preferred Experience LinkedIn marketing and outreach CRM management Email marketing Corporate wellness, coaching, leadership development, or HR-related industries Lead generation and prospect research Basic graphic design Software & Tools Required Experience With: Canva Google Workspace Microsoft Office LinkedIn Zoom Preferred Experience With: Mailchimp or similar email marketing platforms CRM systems (HubSpot, Zoho, ActiveCampaign, or similar) Trello, Asana, ClickUp, or http://Monday.com ChatGPT and AI productivity tools Scheduling tools such as Buffer, Hootsuite, Later, or Metricool Personal Attributes Highly proactive and resourceful Strong problem-solving skills Takes initiative without waiting for instructions Professional and dependable Growth-oriented mindset Organized and detail-focused Positive attitude and collaborative approach Comfortable working in a developing and evolving business environment Personality & Working Style Preferences: Highly proactive and self-directed Strong communicator Organized and process-oriented Able to suggest ideas and improvements Comfortable working with a business owner who is building and refining systems Willing to help establish workflows and recommend best practices Success Metrics Consistent content publishing schedule maintained Increased social media engagement and visibility Improved lead generation activity Organized systems and workflows implemented Timely completion of projects and administrative tasks Effective support of business growth initiatives Hours: Client might consider 10-hour Short-Term Package first and then will transition to long-term, on-going support if everything goes well.
