He is looking for a right-hand Executive Assistant to help bring structure, organization, and follow-through to his business. This role is more than just managing tasks. It’s about becoming a true partner in the business, someone who can help take ideas out of John’s head and turn them into something real and actionable. There are a lot of moving pieces, and your role will be to help create clarity, keep things organized, and make sure nothing important falls through the cracks. You’ll be supporting both the day-to-day operations and the bigger-picture priorities, helping ensure that opportunities are followed up on, systems are built and maintained, and the business continues to move forward in a consistent, intentional way. You are exceptional in communicating with external partners, clients, and staff. The person who will thrive in this role is someone who takes initiative naturally. Responsibilities ● Calendar and inbox management ● Assist in scheduling calls, follow-ups, and speaking logistics ● Ensure all key commitments and deadlines are tracked ● Build and maintain workflows in Asana ● Document SOPs for key business processes ● Capture action items from calls and ensure follow-through ● Track speaking opportunities and pipeline stages ● Ensure follow-ups and aftercare actions are completed ● Assist in sending proposals, agreements, and client communication ● Organize files, templates, and documentation ● Support implementation of tools (Asana, CRM, etc.) ● Assist with light research and coordination tasks ● Contribute to the growth of the business with new ideas, ideas for improvement, and sales support Skills + Strengths ● Systems Oriented Thinker • You naturally think in processes, not just tasks. When something is repeated more than once, your instinct is to organize it, document it, automate it (if possible), and improve it. ● Extreme Ownership • You take full responsibility for your role and outcomes. What Success Looks Like in the First 90-Days: First 30 Days – Learn, Organize, Support ● Gain a clear understanding of John’s offers (speaking, Speech on the Beach, coaching) and current priorities ● Learn the brand, the mission, the current processes and key tools to be used regularly ● Begin managing calendar and inbox to ensure scheduling is accurate and nothing is missed ● Sit in on key calls and capture clear notes, action items, and follow-ups ● Take ownership of tracking immediate tasks and ensuring completion ● Organize active conversations, leads, and opportunities into a simple, trackable format ● Ensure all current follow-ups (speaking leads, referrals, past clients) are completed on time ● Begin supporting basic administrative needs (documents, scheduling, coordination) ● Become familiar and start using specific AI tools associated with the business By Day 60 – Strengthen Execution + Support Pipeline Activity ● Consistently track speaking opportunities, referrals, and leads in a central location ● Ensure all follow-ups are happening on time without needing reminders ● Support outreach efforts (sending emails, tracking responses, organizing contacts) ● Assist in preparing and sending proposals, agreements, and key client communications ● Coordinate logistics for speaking engagements (travel, scheduling, materials as needed) ● Help maintain visibility into priorities, deadlines, and next steps across the business ● Begin identifying small gaps or inefficiencies and proactively addressing them ● All assigned tasks are completed on time, or deadlines are re-negotiated well in advance ● Suggest opportunities for improvement or to generate additional revenue By Day 90 – Create Consistency + Reduce Mental Load ● All leads, opportunities, and follow-ups are clearly tracked and consistently managed ● Inbox and calendar are fully under control and proactively managed ● Speaking and client-related logistics run smoothly without last-minute issues ● John is no longer holding follow-ups, tasks, or details mentally; you are managing, tracking and reporting out on them ● Communication is clear, proactive, and keeps everything moving forward ● You are confidently supporting both day-to-day operations and ongoing sales activity ● The business feels more organized, responsive, and consistent in execution Overall Success in This Role ● Nothing falls through the cracks, especially revenue-related opportunities ● Follow-up and communication are consistent and reliable ● John feels supported, prepared, and able to stay focused on high-impact work ● The business operates with more clarity, responsiveness, and momentum
