Description SUMMARY The Office Manager and Global Reach Coordinator will serve as the administrator for short-term missions, missionary care, and Reach department.  They will oversee the creation of written communications and training materials for the department. They will serve in organizing administrative responsibilities and department logistics and projects. DUTIES AND RESPONSIBILITIES Manage the status and progress of all Global Reach projects, ensuring timely completion and effective communication. Assist with the coordination and execution of departmental events. Provide administrative assistance to the Global Reach Director, including organizing special meetings and managing office needs. Process and respond to missionary and special project applications. Compile, review, and maintain missionary communications and housing requests, as well as quarterly missionary reports. Write and distribute all trip profiles and communications for Global Reach. Oversee the collection of travel documents, including visas, passports, and fundraising efforts for team members. Lead mission trips and assist in recruiting team members and leaders. Coordinate trip itineraries, pre-trip preparations, and maintain contact with all relevant parties. Process purchase orders and check requisitions for trips, flights, in-country expenses, and other related costs in a timely and accurate manner. Provide quality leadership by motivating Victory Reach volunteers and effectively communicating the vision, goals, and expectations of the department. Facilitate leader interviews and ensure team readiness for mission trips. Oversee parent, student, and leader communication to ensure clarity and alignment with trip objectives. Ensure that all paperwork, such as purchase orders, check requisitions, and vacation requests, is properly completed and maintained. Follow and support ministry leadership, policies, and vision, ensuring alignment with Ministry goals. Work cooperatively with other departments and ministry personnel to ensure smooth operations and successful outcomes for Global Reach initiatives. Attend all mandatory staff meetings and contribute to the Growth Track assimilation process to welcome and engage new members in Victory Reach. Qualifications MINIMUM QUALIFICATIONS: High school degree or equivalent Professional communication skills including verbal and written communication. Critical thinking and problem-solving skills. Administrative skills. Proficient computer skills Organized with the ability to prioritize tasks. Time management skills with a proven ability to meet deadlines. Ability to work with excellence in a fast paced, creative environment. Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to: Must be physically capable of enduring long periods of travel by various means, including air, sea, and ground transportation, often under conditions that may be less than ideal, such as long flights, extended bus rides, or rough terrain. Able to sustain prolonged physical activity and work in diverse and challenging environments, which may include extreme weather conditions, remote locations, and limited access to modern amenities. Must be able to stay on the mission field maintaining high energy levels and focus in environments where comfort, sleep, and regular routines may be disrupted. Capable of performing physical tasks such as setting up and dismantling equipment, assisting in field operations, and participating in manual labor as needed in support of mission objectives. Ability to lift 50lbs for Reach equipment and gear. Prolonged period sitting at a desk working close-up tasks primarily on a computer in environmentally controlled office. Ability to be able access and navigate each department at the ministry’s facilities. Reasonable accommodation may be made to enable qualified individuals with disabilities to perform the essential functions. Ministry Requirements Maintains Victory protocol, policies and procedures. Demonstrates integrity. Performs and maintains tasks with an appropriate level of confidentiality. Models the biblical standard of personal conduct and lifestyle that is expected of all Victory Team staff members as outlined in the Honor Code and Employee Handbook. Fully participates in the life of the church as an active member in good standing with Victory. Supports and adheres to the mission, vision, values, and philosophy of Victory. Submits to and supports the leadership of Victory.
