Description
The Lead Sales Gallery Coordinator serves as a positive example and supports management with decisions and initiatives. Team Leaders will be assigned to work all functions within the Support Services department. This position will work at an equivalent level with other Team Leads by providing seamless leadership across all teams within the Support Services department, encouraging cross team interaction and leadership coverage and support. He or she strives to ensure that all guest experiences meet or exceed company expectations and maintains the integrity of Support Service operations according to established company policies and departmental procedures. The position is responsible for conducting team meetings, staff training, handling escalated customer issues, updating policies and procedures, completing daily/monthly reports or other relevant paperwork, and other miscellaneous tasks as requested by management.
Responsibilities
Follows required script in greeting and seating guests and provides high level of customer service through warm welcome and guest satisfaction Verify accuracy of invitation and attendance of guests for the Sales Executive (SE) Identifies and contacts the SE and manager on point Provides the SE with general information regarding the tour guest Assigns sales presentation tables for SE by tour guest count Assignment of Take Over Sales Closers (TO) and Vacation Introduction Program Agents (VIP) as required during the sales process Accountable for inputting information for paperwork and on system timely and accurately Maintains the SE rotation software accurately Directs incoming telephone calls to the proper recipient Prepare gifting receipts and gift vouchers Assist in opening and closing of the Sales Gallery and model rooms Assist with other Support Services programs as needed due to business needs Responsible for presentation as well as preparing and maintaining the kitchen, self-service, and guest seating areas Responsible and liable for gift banks at assigned locations average value $41,000 & maintaining accuracy and balancing during shift Accurate and timely reporting of exception tour information processing Uploading and maintaining integrity of the tour rules and rotation Daily powerline set-up on a timely basis as required by sales Daily balancing of all premiums, gifts and paperwork Responsible to follow the department's attendance policy including checking the sick call line and submitting proper paperwork in a timely manner. Ensure and order all galleries maintain an appropriate level of supplies for kitchen preparation, collateral, items required for support services. Prepare paperwork for Access storage pick up based on timelines established in the department Participation in skills assessments for training and development will be mandatory Facilitate staff meetings as needed Provide seamless communication with other departments
Qualifications
Required Qualifications:
1-3 years of experience in administrative / clerical duties in an office setting 1 or more years of experience in guest or customer service Proficient in Microsoft Office Ability to provide feedback to internal and external customers
Preferred Qualifications:
4+ years of experience of administrative, clerical duties in an office setting 2+ years or more in guest service in a branded hotel or in a customer service area Ability to support other teams through leadership, resolving conflict and complex issues
