2026-49 Elections Assistant (1 Vacancy) Reporting to:   Manager, Legislative Services/Deputy Clerk Department:   Clerks Classification:   TEMPORARY; Non-Union Salary Range:  $20.48 Hours of Work:  35 hours per week including evenings and weekends. Weekday hours will be 8:30AM – 4:30PM. Evening and weekend hours will be scheduled as required around voting days. Position Summary: The Elections Assistant will support the planning, administration, and delivery of the City of Woodstock’s 2026 Municipal and School Board Elections. Operating within a highly regulated public-sector environment, this position contributes to the administration of a fair, accessible, transparent, and compliant election under the Municipal Elections Act, 1996 and related municipal by‑laws, policies, and procedures. Duties and Responsibilities: Assist with the implementation of the 2026 Municipal and School Board Election, including planning, advance/online voting, voting day operations, and post‑election activities. Support the interpretation and application of the Municipal Elections Act, 1996 , and related municipal by‑laws, policies, procedures, and guidelines. Assist in ensuring compliance with statutory deadlines, accessibility requirements, and legislative obligations for voters and staff. Support monitoring of compliance requirements for candidates and third‑party advertisers, including impartiality rules, campaign advertising requirements, reporting, etc. Operate in accordance with election procedures, internal policies, and training materials. Assist with election-related outreach at City-affiliated events, including staffing information booths, engaging with the public, and providing accurate election information. Assist with preparation and distribution of election information and materials for candidates and voters. Assist with planning and coordination of voting locations, including accessibility compliance, space planning, logistics, and set-up/teardown. Support recruitment, training, scheduling, and coordination of temporary election workers. Assist with managing Voters’ List revisions and updates. Support procurement, inventory management, distribution, testing, set-up, and secure handling of election equipment and supplies, including assisting with the physical set-up and tear-down of voting locations as required (may involve evening and weekend work). Assist with advance voting and voting‑day operations, including documentation, issue resolution, and procedural support. Contribute to election project work plans, master calendars, timelines, checklists, and progress tracking. Compile operational data and assist with preparation of reports, summaries, evaluations, and post‑election documentation. Promote and support election practices that advance accessibility, transparency, fairness, and public confidence in the democratic process. Maintain strict standards of confidentiality, political neutrality, ethical conduct, and public‑sector accountability. Qualifications: Enrolment in post-secondary program, or recent completion of a degree, in public policy, political science, law, public administration, governance, or a related discipline. Demonstrated academic or professional interest in elections, democratic institutions, public law, public policy, or government operations. Excellent written and verbal communication skills, including the ability to explain rules and processes clearly and professionally. Ability to exercise sound judgment, discretion, and impartiality in a politically sensitive and regulated environment. Strong interpersonal skills and the ability to interact effectively with diverse stakeholders. Strong analytical and organizational skills, with the ability to apply legislation, procedures, and policy frameworks. Ability to manage multiple priorities, meet deadlines, and function effectively during peak operational periods. Proficiency with Microsoft Office Suite. Availability to work flexible hours, including evenings and weekends, during key election periods (mainly mid-late October). Considered an asset Previous experience in a municipal, public sector, regulatory, policy, or governance related role. Prior exposure to elections (any level) or stakeholder engagement. Experience coordinating or supervising staff, volunteers, or temporary workers. Familiarity with accessibility standards and inclusive service delivery. Knowledge of the Municipal Elections Act, 1996 and other relevant electoral or administrative legislation. Working Conditions: The City of Woodstock is a fully in-office workplace where employees are expected to work on-site. Frequent interaction with candidates, election workers, and members of the public. Fast‑ paced, time ‑sensitive environments, particularly during advance voting and voting days, and will include evenings and weekends. Physical duties, including setting up voting locations and handling election materials.
