Description

Important: Ability to pass a background screening process and obtain a Level 1 Fingerprint Clearance Card is necessary to be employed by Gila Community College. A letter of application may be uploaded along with a resume to assist the search committee's review of how you meet the required and preferred qualifications sought. Essential Functions Ability to perform general physical activities that require considerable use of arms, hands, and fingers to manipulate office equipment, machines, and materials. Some whole-body movement such as lifting, balancing, walking, stooping, carrying objects and handling materials may be required. Ability to provide effective assistance in a professional manner to College stakeholders in a variety of business environments requiring critical thinking, organization, and the use of interpersonal and communication skills. Functions/duties as listed in Procedure 5012.02 Employee Classification General Responsibilities. Additional position specific essential functions are listed below. Level of Supervision or Independent Judgement Performs duties under indirect supervision following procedures, instructions, directions, and training given. Some independent decision making. Duties and Responsibilities Grants Professional employees are expected to perform any or all duties listed below in a safe, efficient, and effective manner. Identify, evaluate, and prioritize external funding opportunities (federal, state, local, foundation, and corporate) that align with institutional priorities, strategic goals, and program needs. Manage and coordinate pre-award proposal development, including project timelines, narrative development, required data collection, attachments, certifications, letters of support, institutional approvals, and final submission requirements. Draft, edit, and submit grant applications, proposals, and supporting documentation in accordance with sponsor guidelines, formatting requirements, and deadlines. Develop grant budgets and budget narratives in collaboration with program leads and business/finance staff; confirm allowability, allocability, reasonableness, and consistency of proposed costs in accordance with sponsor requirements and applicable cost principles. Review award documents, terms, and conditions; coordinate award set-up activities and assist departments in planning for implementation, compliance, staffing, procurement, and reporting requirements. Manage day-to-day grant administration, ensuring timely submission, accurate documentation, clear communication, and adherence to sponsor and institutional requirements. Maintain complete grant files and documentation (proposal, award, amendments, correspondence, budgets, reports, deliverables, and supporting financial and program records) in accordance with institutional recordkeeping requirements. Track and manage grant budgets, expenditures, encumbrances, cost share/match (if applicable), and key performance deliverables; communicate status, concerns, and recommended action project staff and leadership. Prepare, compile, and coordinate timely submission of required sponsor reports (programmatic, financial, performance, and other required deliverables) and ensure supporting documentation is complete and accurate. Monitor compliance with sponsor requirements, institutional policies, and applicable federal and state regulations (as applicable to the award), including internal controls, procurement standards, effort/payroll documentation, allowable cost rules, and audit readiness. Work with Fiscal Office and project leadership to resolve issues as needed. Provide guidance and technical assistance to project directors, faculty/staff, and partners regarding grant requirements, timelines, and documentation standards, budget management, and reporting expectations. Coordinate grant modifications as needed (e.g., no-cost extensions, budget revisions, scope changes, subawards/subcontracts, and key personnel changes) in accordance with sponsor and institutional processes. Support grant closeout activities, including final reconciliations, completion of final reports and deliverables, resolution of outstanding issues, and retention records in accordance with applicable requirements. Perform other related duties as assigned. Qualifications and Education Requirements Bachelor’s degree in business, accounting, finance, public administration, or a closely related field. A combination of education, experience, knowledge, skills, and abilities that will enable success in position responsibilities. Ability to pass a background screening process and obtain a Level 1 Fingerprint Clearance Card is necessary. 2-3 years of professional experience managing or providing substantial support across multiple phases of the grant lifecycle, including pre-award, award set-up, post-award management, and closeout. Demonstrated experience in grant writing, proposal development, or preparation of complex narrative and technical documents requiring coordination of multiple contributors and deadlines. Strong interpersonal, written, and verbal communication, analytical and problem-solving skills. Working knowledge of, and ability to apply, sponsor requirements and grant management principles, including budgeting, documentation, reporting, and compliance responsibilities. Proficiency with spreadsheets and financial tracking tools for grant budgets, expenditure monitoring, and forecasting. Working knowledge of Uniform Guidance/2 CFR 200, including internal controls, allowable costs, procurement basics, documentation standards, and audit readiness, or the ability to attain and apply this knowledge. Ability to work effectively across departments and with internal and external stakeholders in a professional environment requiring sound judgment, organization, discretion, and attention to detail. Preferred Skills Experience working at a community college or open enrollment institution. Recognized professional credentials in grants administration (examples may include SRAI certificate programs and NCURA training programs). Familiarity with and understanding of safe work practices particularly when performing general physical activities within an office environment. Work Environment Duties are performed in a typical office environment within generally climate-controlled structures. Exposure to moderate noise levels is anticipated. Exposure to moderate to heavy office traffic levels with possible frequent interruptions is anticipated. Substantial computer and/or electronic equipment use is expected. Operation of standard office equipment involves repetitive fine motor-skills.
