The QISG team brings together Engineering, Safety, Quality, Material Procurement, QA/QC, Right-of-Way Acquisition, Scheduling, Environmental Planning, Permitting, Title and Land Management expertise that ensure outstanding results for our clients. About this Role At QISG, the Talent Acquisition Coordinator will serve as a key support partner to the Talent Acquisition (TA) team, with a primary focus on coordinating the interview process and candidate experience. This role is responsible for scheduling interviews across multiple time zones, arranging candidate travel logistics, and ensuring a seamless, professional experience from first contact through offer. A small portion of time will be dedicated to supporting intern program scheduling in partnership with HR. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, people-focused environment. What You'll Do Partners closely with TA recruiters and hiring managers to coordinate and schedule phone screens, virtual interviews, and on-site interviews across multiple time zones and locations Manages end-to-end candidate travel arrangements including flights, hotels, and ground transportation in accordance with company travel policy Serves as a primary point of contact for candidates throughout the interview process, providing timely communication and a positive candidate experience Maintains accurate and up-to-date candidate records and scheduling activity within the Applicant Tracking System (ATS) Coordinates intern program interview scheduling on a limited basis, supporting the TA team during peak recruiting cycles Prepares and distributes interview itineraries, confirmation communications, and relevant materials to candidates and interview panels Assists with drafting and sending TA-related communications including interview invitations, scheduling confirmations, and logistics instructions Responds to general candidate and hiring manager inquiries; escalates complex or sensitive matters to the appropriate recruiter or TA Manager Supports continuous improvement of scheduling and coordination workflows to increase efficiency and enhance the candidate experience Adheres to internal standards, policies, and procedures; maintains confidentiality of all candidate and personnel information Performs special projects and completes other duties as assigned or requested What You'll Bring Bachelor’s degree in Human Resources, Business Administration, or related field Minimum of 1-year Human Resources administrative experience Prior experience coordinating candidate travel or supporting high-volume recruiting Proficiency with Microsoft Office; Outlook, Teams, Word, PowerPoint, and Excel Experience working with an applicant tracking system Proficiency with Microsoft Office Suite Exceptional organizational skills and attention to detail Strong verbal and written communication skills with a professional, candidate-friendly tone Proven ability to manage competing priorities and meet tight deadlines Ability to act with integrity, discretion, and confidentiality Collaborative team player with a positive, service-oriented attitude Strong problem-solving skills with the ability to adapt quickly in a dynamic environment What You'll Get Competitive Compensation 401(k) Retirement Plan Holiday Pay Paid Time Off (PTO) Comprehensive Health Coverage Pet Insurance Employee Assistance Program (EAP) Professional Development Tuition Assistance Employee Discount Program Equal Opportunity Employer All qualified applicants will receive consideration for employment and will not be discriminated against on the basis of race, color, religion, national origin or ancestry, sex (including gender, pregnancy, sexual orientation, and/or gender identity), age, disability, genetic information, veteran status, and/or any other basis protected by applicable federal, state or local law.We are an Equal Opportunity Employer, including disability and protected veteran status.
