Description

Overview Employment in this role is conditional upon successful execution of the contract by the client The Work The Administrative Assistant executes a wide range of administrative duties to support the Program office. This position is responsible for facilitating daily office operations and functions under the direction and supervision of Program office personnel. This position aligns with Cayuse’s core values of Innovation, Excellence, Collaboration, Adaptability, and Integrity by fostering technical solutions that meet customer needs, promoting teamwork, and prioritizing quality in deliverables. Responsibilities Key Responsibilities Prepares and revises charts, spreadsheets, memoranda, and other general office documents as required to support program objectives. Administers and maintains office databases to ensure data integrity and accessibility. Enters financial information, survey responses, critiques, and test results; generates performance measurement and administrative reports as needed. Provides support for data analysis activities to assist in the identification and resolution of issues impacting program operations. Attends office meetings, documents proceedings, and disseminates meeting minutes to all relevant stakeholders. Drafts and edits standard operating procedures to ensure clarity and consistency in process documentation. Facilitates all aspects of travel arrangements for Program office staff, including coordination of logistics, transportation, and preparation of government travel orders. Prepares routine communications, including cables, utilizing the Government's official cabling system (CableXpress). Compiles weekly activity summaries and other periodic reports for the Program office. Establishes and maintains centralized electronic and paper files for key areas such as budget management, equipment purchases requisitions, end-of-course reports, student critiques, travel records, and general correspondence. Provides direct project assistance and other administrative support as necessary to ensure efficient office operations. Executes special tasks and assignments as directed by supervisory staff. Other duties as assigned. Qualifications Qualifications – Here’s What You Need The qualifications and skills listed below are intended to provide a general overview of the requirements for this position. However, due to the anticipated nature of the contract and the absence of a finalized task order from the client, this list should not be considered all-encompassing. Additional qualifications, certifications, skills, or experience specific to the client’s requirements may be identified and requested upon award of the task order. Candidates should demonstrate flexibility and a willingness to adapt to evolving responsibilities as outlined by the client. Must possess a high school diploma, Associate’s degree preferred, together with three years (3) of relevant administrative experience. Must possess a basic knowledge of and experience with office and administrative functions, practices and procedures. Secret Clearance is required. Due to the nature of work at the client’s site, U.S. Citizenship is required. Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment. Minimum Skills: Must be highly organized with attention to detail. Must possess excellent command of the English language. Must have excellent oral and written communication skills to interface with personnel at all levels. Must have a basic knowledge of and experience with word processing, databases and spreadsheets and be able to operate office equipment (PCs, faxes, phones, copying machines, etc.). Applicants must demonstrate thorough knowledge of Microsoft applications (MS Word, PowerPoint). Excel experience is a must. Ability to handle multiple tasks simultaneously. Ability to communicate effectively orally and in writing. Must be self-motivated and able to work well independently as well as on a multi-functional team.
