Description

Position Summary Oversee administrative operations for the Institute of Critical Studies in the Arts (ICSA). Direct administrative processes related to the ICSA's budget and grants. Develop and deliver alumni services. Support the ICSA Associate Dean in the day-to-day operations of the ICSA and in developing and implementing the Associate Dean’s strategic vision, including the establishment of office policies and procedures, determining short- and long-term goals and work priorities. Serve as liaison with the School and University Office, responding to sensitive and confidential inquiries and issues. Supervise staff. The Institute of Critical Studies in the Arts (ICSA) comprises four departments and two programs within the departments: Cinema Studies & Moving Image Archiving and Preservation (MIAP), Performance Studies & Tisch Drama Review (TDR), and Arts & Public Policy. The Senior Administrative Manager supports the Associate Dean of ICSA in the day-to-day operations of implementing the strategic vision. They oversee two critical administrative responsibilities for the entire institute: budget and alumni relations. Administer the ICSA financial accounts; oversee maintenance of account records, expenditures, and transfer of funds; make budget projections and modifications; supervise processing of payments and budget requests; approve payments for student and faculty travel reimbursements, check requests, faculty credit card payments, etc. Oversee payment process to vendors, including honoraria; analyze past expenditure trends; prepare forecasts and budget submissions. Administer faculty requests for guest lecturers and course funding for field trips, events, and other instructional needs. Oversee the generation of monthly reports. Collaborate with the School's Budget Office to resolve discrepancies; reconcile overruns. Advise faculty and administrators on the University’s fiscal guidelines & requirements. Represent the departments at the annual TAD yearly budget planning meetings. Oversee Faculty grant accounts. Develop and implement student alumni services. Create and maintain alumni databases and email list serves. Assist with planning and implementing alumni/fundraising events. Monitor alumni responses and update information; furnish alumni information and statistics. Maintain correspondence with alumni. Lead the alumni-focused social media effort, including regularly and strategically updating all social media accounts and other platforms. Collaborate with ICSA Leadership and liaise with the NYU and TSOA External Affairs office. Manage MIAP department operations. Provide input on substantive communications such as administrative policies, committee or annual reports, etc. Research and synthesize information on matters requiring department head/chair's involvement, providing analysis and recommendations to facilitate decision-making. Support the development of annual and long-term planning of the department's administrative objectives and programs. Interpret and ensure adherence to University and school policies, and serve as an information resource for departmental faculty and staff, with the authority to resolve highly complex or sensitive administrative matters. Work on special projects: evaluate the effectiveness of current processes, develop new processes, reduce costs, and improve communication. Qualifications Required Education: Bachelor's Degree Preferred Education: Bachelor's Degree or equivalent Required Experience: 5+ years relevant professional level experience in higher education. Must include experience planning and implementing administrative activities, supervising office operations, and supervising staff, or equivalent combination of education and experience Preferred Experience: 5+ years Experience in an educational or non-profit environment. Required Skills, Knowledge and Abilities: Excellent organizational, interpersonal, and communication skills. Ability to interact with a diverse population at all levels. Should be able to demonstrate excellent project management skills, a talent for workplace negotiation, and the ability to persuade through collaborative dialogue. Should have experience with systems like databases and software interfaces, with an ambition to learn to develop them. Preferred Skills, Knowledge and Abilities: Proficiency with MS & Google Office suite, NYU Programs (i.e., Workday, Sailpoint, SIS) Additional Information In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is USD $75,000.00 to USD $95,000.00. New York University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
