DEPARTMENT : Logistics
JOB TITLE : Customer Service Representative
REPORTS TO : Supply Chain Manager
JOB PURPOSE : The Customer Service Representative is responsible for receiving, investigating and responding to all customer inquires regarding shipments, products and complaints. Responsible for assisting product launches at all stages of the Concept to Manufacturing Process.
AUTHORITY: All employees have the authority to stop operations/production for the following three reasons: 1) a quality defect, 2) an unsafe act, or 3) a health hazard.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Research and solve customer discrepancies Organize and plan all outbound shipments
Communicate with customers by phone concerning orders, returns, shipments and products
Maintain daily shipping logs
Call customers when necessary to advise shipments delay and/or information necessary to process orders
Initiate tracers with carriers
Make changes to or cancel orders/backorders
Initiate orders for replacements parts and/or for correcting errors (shortages, wrong item shipped, etc.)
Always interact with customers in a professional and friendly manner
Obtain customer feedback information
Knowledge of Customer Specific Requirements
Communicates order status/issues to production daily
Deputy of Finished Goods inventory and FIFO pull system, regular cycle counts
Effective understanding of BAAN system, requirements, and work instructions
Resolve EOI issues/ensure accurate sales schedule compared to portals
Manage customer-specific supplier portals and all necessary electronic data responses.
Responsible for maintaining acceptable score on customer score cards (ie. Delivery Conformance, Response Conformance, Adjustment)
Effectively perform any other duties as assigned or deemed necessary and appropriate.
QUALIFICATIONS
Experience, Competencies and Education
An experienced individual with appropriate industry experience, preferably in the automotive manufacturing field. An energetic, forward-thinking and creative individual with high ethical standards and an appropriate professional image. A strategic visionary with sound technical skills, analytical ability, good judgment and strong operational focus. A well organized and self-directed individual who is "politically savvy" and a team player. An intelligent and articulate individual who can relate to people at all levels of an organization and possesses excellent communication skills. A good educator who is trustworthy and willing to share information and serve as a mentor. An excellent negotiator with a high degree of interpersonal skills. Familiarity with Electronic Data Interface Programs as required by our customers. High School Diploma or GED (BS Preferred), 10 th Grade Math Level, and two to three years related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to clearly convey thoughts and ideas to all levels of the organization.
