ABOUT WILLIAMS LAKE FIRST NATION (WLFN) The Williams Lake First Nation (WLFN), or the T’exelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe. We are Culturally Centered, Future Focused. WLFN provides staff with an excellent benefits package, RSP matching up to 8%, 3 weeks' vacation upon completion of probationary period, and many other benefits. POSITION The Operations and Maintenance (O&M) Assistant supports daily business operations by managing administrative tasks, coordinating workflows, and facilitating communication across departments. A high-quality productivity level within a fast-paced environment is a necessity. Employment Type Full-time permanent, 35 hours per week. Monday-Friday from 8:30am-4:30pm. Probation Period 3 months from the date of hire. Education Required High school diploma required Bachelor’s degree in business administration, management, or a related field is preferred. Experience Required Minimum 2 years of experience working in an office setting, providing administrative support. Overtime Status Non-exempt. DUTIES AND RESPONSIBILITIES Performs day-to-day administrative/clerical duties, including photocopying, processing correspondence, emails, and other documentation. Assists with incoming service requests. Maintains a digital filing system. Maintains general office supply inventory, including ordering and organization. Prepares purchase orders, credit card reconciliations, and invoices for approval. Oversees event scheduling for the O&M department, including the scheduling of set up and take down, billing for equipment, and submitting work orders. Ensure department staff complete paperwork accurately. Ensures department is using the sign in/out system and track hours worked on projects/tasks to ensure correct billing. Attending to any correspondence and emails by customers, clients, and contractors. Managing the maintenance of office and facility equipment. Exercises sound judgment and discretion with regard to the confidentiality of client information. Follows and adheres to all safety policies and procedures. Creates a safe and healthy environment where facilities are well maintained. Supports the mission, vision, and values of Williams Lake First Nation. Contributes to the WLFN’s ongoing success by accomplishing other duties as required or assigned. Knowledge Knowledge of the Williams Lake First Nation community, traditions, teachings, culture, protocols, and practices. Working knowledge of the Building Code, tendering procedures, contracts, and insurance. Knowledge of Microsoft Office software at an intermediate/advanced level. Skills and Abilities A team player, the ability to develop effective and supportive relationships with all colleagues and promote/maintain collaborative approaches. Excellent organizational skills, ability to work well under pressure, and prioritize workload to meet tight deadlines. Extensive communication skills (verbal and written). Excellent interpersonal and time management skills in dealing with a wide range of senior management, various consultants, and external stakeholders. Operates as part of a team and is flexible about the boundaries and functions of the job. Maintains professionalism in all circumstances. Recognizes and respects all cultural diversity and understands the Indigenous culture. Preference will be given to those of Aboriginal Ancestry - per Section 16(1) of the Canadian Human Rights Act.
