Hays Electrical Services approaches each project with a cooperative mindset, working with business owners, contractors, and subcontractors towards the common goal – successful project delivery.
Position Overview
We are seeking a highly organized and detail-oriented Recruiting Coordinator to support our Talent Acquisition team. This role ensures a smooth and efficient hiring process by managing offer letters, background checks, onboarding documentation, interview logistics, and recruiting systems. The Recruiting Coordinator will also assist with a wide range of recruiting activities to support timely and successful hiring across the organization.
Key Responsibilities Draft, distribute, and track offer letters for selected candidates. Coordinate pre-employment requirements including background checks, drug screens, and other compliance processes. Manage and process new hire paperwork such as direct deposit forms, I-9s, and tax forms. Create, distribute, and track Cognito forms to ensure accurate and timely completion. Maintain candidate records in the applicant tracking system (ATS) and ensure compliance with internal policies and regulatory requirements. Act as the primary point of contact for candidates during the onboarding process, providing guidance and support as needed. Partner with recruiters and hiring managers to ensure smooth communication and alignment throughout the hiring process. Sit in on interviews with hiring managers to support coordination and ensure consistency in the interview process. Schedule interviews using Microsoft Outlook, coordinating availability across candidates and internal stakeholders. Assist with travel requests and logistics for candidates and interviewers, ensuring a seamless experience. Create job descriptions using the Hays format and update JazzHR accordingly to support recruiting needs. Support additional administrative and operational duties within the Talent Acquisition function.
Qualifications 1–2 years of recruiting coordination, HR, or administrative experience preferred. Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Excellent attention to detail and accuracy in handling sensitive information. Strong written and verbal communication skills. Proficiency with MS Office Suite (Word, Excel, Outlook); experience with ATS or HRIS systems is a plus. Ability to work independently as well as collaboratively within a team.
