Purchasing Coordinator - Plumbing
GENERAL STATEMENT OF JOB
At Stancil Services, our plumbing division depends on a purchasing operation that is fast, accurate, and deeply connected to field needs. The Purchasing Coordinator serves as a key partner in the operation, ensuring plumbing projects receive the materials, documentation, and vendor support required to keep jobs on schedule. This role is ideal for someone who thrives in a growing, high-performance environment where attention to detail and strong communication directly impact project success. You will support multiple Purchasing Agents, streamline procurement workflows, and keep our teams equipped with the right materials at the right time.
SUPERVISORY RESPONSIBILITIES
None
ESSENTIAL JOB FUNCTIONS
Provide administrative and operational support to Purchasing Agents throughout the procurement lifecycle.
Generate, process, and maintain purchase orders for plumbing and construction materials based on Purchasing Agent direction.
Coordinate with vendors to confirm pricing, product availability, lead times, order confirmations, and delivery schedules.
Track material orders, monitor backorders, and notify Purchasing Agents of delays, discrepancies, or pricing issues.
Communicate with Estimating, Field Management, Warehouse, and Accounting to ensure purchasing aligns with project start timelines and operational needs.
Reconcile vendor invoices with purchase orders and assist in resolving variances.
Maintain accurate purchasing data and documentation within Stancil’s systems (e.g., SAGE Intacct, Buildertrend, or comparable ERP platforms).
Assist Purchasing Agents with managing product substitutions, discontinued SKUs, and changes in material cost.
Participate in weekly purchasing meetings, job coordination discussions, and other team sessions as needed.
Support continuous improvement initiatives by helping standardize purchasing procedures, documentation expectations, and workflow practices.
Other related duties as assigned.
Qualifications
EDUCATION, EXPERIENCE AND TRAINING
1–3 years of experience in purchasing, procurement, or project coordination (experience in construction or plumbing preferred).
Proficiency with ERP and purchasing systems (SAGE Intacct preferred).
Proficiency in Microsoft Office (Excel, Outlook, Teams).

Demonstrate strong analytical skills and the ability to communicate effectively with diverse internal and external stakeholders.
Provide professional, informative assistance to customers, vendors, and team members.
Act independently when appropriate and bring forward new approaches to operational challenges.

Demonstrate excellent verbal and written communication skills.
Maintain strong organizational skills and attention to detail.
WORKING ENVIRONMENT AND CONDITIONS
Work performed primarily in indoor office environments with prolonged periods of sitting, computer use, and documentation review.
Frequent use of hands to handle, control, or feel tools, equipment, and digital devices.
Must be able to sit, stand, talk, hear, and move throughout the day as needed.
Occasional climbing, reaching above shoulder height, stooping, kneeling, crouching, or accessing storage areas.
Ability to occasionally lift items up to 15 pounds when handling materials or samples.
Must be able to access all areas of company facilities for project, inventory, or vendor coordination purposes.
